Job Summary
Gallery Silver Scapes is seeking a highly organized, proactive, and professional Personal Assistant (PA) to provide comprehensive support to the Director. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communications, maintaining records, and ensuring smooth day-to-day operations.
Key ResponsibilitiesCalendar & Schedule Management
- Manage the Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings.
- Ensure timely reminders and follow-ups on important tasks and deadlines.
Communication Management
- Handle email correspondence and draft professional communications.
- Screen and manage incoming calls and messages.
- Coordinate with clients, vendors, business partners, and internal teams.
Administrative Support
- Prepare reports, presentations, meeting agendas, and business documents.
- Record and circulate Minutes of Meetings (MOMs).
- Maintain confidential records, files, and documents.
- Organize and manage digital and physical documentation.
Coordination & Follow-Ups
- Track action items and follow up with departments on behalf of the Director.
- Assist in project coordination and execution.
- Ensure timely completion of assigned tasks and commitments.
Travel & Event Coordination
- Arrange travel bookings, accommodation, and itineraries.
- Coordinate business meetings, events, and client visits.
Required Qualifications
- Bachelor's degree in any discipline.
- 2–5 years of experience as a Personal Assistant, Executive Assistant, or Administrative Coordinator.
- Excellent verbal and written English communication skills.
- Strong proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and professionalism.
- Strong follow-up and coordination skills.
Preferred Skills
- Experience working directly with senior management or directors.
- Professional business communication and email drafting skills.
- Ability to work independently and manage priorities effectively.
- Basic knowledge of presentations, reporting, and office administration.

Salary
₹30,000 – ₹50,000 per month (depending on experience and skills)
