Role Overview
This is not a traditional administrative role.
The Executive Assistant will work directly with the Founder to manage schedules, coordinate projects, follow up with internal teams, and ensure key business initiatives are executed efficiently. The ideal candidate is proactive, highly organized, resourceful, and comfortable working in a fast-paced entrepreneurial environment.
Key ResponsibilitiesExecutive Support
- Manage the Founder's calendar, meetings, appointments, and daily priorities.
- Organize travel, accommodation, and itineraries.
- Screen and prioritize emails, calls, and correspondence.
- Prepare agendas, presentations, reports, and business documents.
- Take meeting minutes (MoMs) and ensure timely follow-ups.
Project Coordination
- Track ongoing projects across departments.
- Coordinate with HR, Operations, Hospitality, Farm, Marketing, and Finance teams.
- Ensure deadlines are met and update the Founder on progress.
- Maintain project trackers and dashboards.
Communication
- Draft professional emails, proposals, letters, and presentations.
- Act as the communication bridge between the Founder and internal/external stakeholders.
- Coordinate meetings with investors, partners, vendors, and clients.
Operations & Administration
- Maintain confidential business records.
- Organize digital files and documentation.
- Assist in creating SOPs, policies, and operational workflows.
- Support event planning, workshops, recruitment drives, and business meetings.
Research & Strategy Support
- Conduct market and competitor research.
- Prepare business reports and presentations.
- Assist in new business initiatives and strategic projects.
- Identify opportunities to improve business processes.

- Google Workspace
- Microsoft Office (Excel, Word, PowerPoint)
- Notion or similar productivity tools
- Canva (basic)
- AI tools such as ChatGPT
- Project management software (ClickUp, Trello, Asana, or Monday.com)
Preferred Qualifications
- Bachelor's degree in Business Administration, Management, Hospitality, or related field.
- 2–5 years of experience as an Executive Assistant, Founder's Office, Project Coordinator, or similar role.
- Startup or hospitality experience is an advantage.
- Willingness to travel occasionally with the Founder.
