Job Summary
The Purchase Executive is responsible for sourcing, procuring, and ensuring the timely availability of materials, products, and services required for the smooth functioning of the organization. The role involves vendor management, price negotiations, purchase order processing, inventory coordination, and ensuring cost-effective procurement while maintaining quality standards.
Key ResponsibilitiesProcurement & Purchasing
- Source and procure materials, products, and services as per organizational requirements.
- Obtain quotations from vendors and conduct comparative analysis.
- Negotiate prices, payment terms, delivery schedules, and contractual terms with suppliers.
- Prepare and issue Purchase Orders (POs) after obtaining necessary approvals.
- Follow up with suppliers to ensure timely delivery of materials.
Vendor Management
- Identify and develop new vendors to improve sourcing options.
- Maintain strong relationships with existing suppliers and service providers.
- Evaluate vendor performance based on quality, pricing, delivery, and service.
- Maintain vendor records, agreements, and compliance documents.
Inventory & Coordination
- Coordinate with stores, warehouse, sales, and operations teams to understand procurement requirements.
- Monitor stock levels and initiate purchases to prevent stock shortages.
- Ensure procurement activities align with inventory management policies.
- Coordinate with logistics and stores teams for material receipt and verification.
Documentation & Compliance
- Maintain accurate procurement records, purchase orders, quotations, and supplier contracts.
- Ensure all purchases comply with company policies and approval processes.
- Verify invoices and coordinate with the Accounts Department for vendor payments.
- Prepare procurement reports and maintain documentation for audits.
Cost Control & Process Improvement
- Analyze market trends and identify opportunities for cost savings.
- Recommend alternative suppliers and products to improve procurement efficiency.
- Support initiatives to reduce procurement costs without compromising quality.
- Continuously improve purchasing processes and supplier performance.
Required Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, or a related field.
- 0–2years of experience in procurement, purchasing, or supply chain functions.
- Experience in retail, hospitality, glassware, crockery, kitchenware, or related industries is preferred.
Required Skills
- Strong negotiation and vendor management skills.
- Knowledge of procurement and inventory management processes.
- Proficiency in MS Excel, ERP systems, and procurement software.
- Good analytical and problem-solving abilities.
- Strong communication and interpersonal skills.
- Ability to manage multiple vendors and deadlines.

Working Conditions
- Office-based role with regular interaction with vendors, warehouse, accounts, and operations teams.
- Occasional travel for vendor meetings, supplier audits, and market sourcing activities.
Pay: ₹15,000.00 - ₹25,000.00 per month
