Key Responsibilities Office Administration
- Manage day-to-day administrative activities and ensure smooth office operations.
- Maintain office records, files, and documentation.
- Monitor office supplies and coordinate procurement of stationery and consumables.
- Ensure proper upkeep of office equipment and furniture.
Facility Management
- Oversee housekeeping, security, gardening, pest control, and maintenance services.
- Coordinate preventive and breakdown maintenance of office facilities.
- Ensure cleanliness and hygiene across office and factory premises.
- Monitor utility services including electricity, water, internet, and telephone.
Vendor Management
- Identify, evaluate, and coordinate with service providers and contractors.
- Obtain quotations, negotiate service contracts, and monitor vendor performance.
- Process vendor bills and ensure timely payment coordination with the Accounts Department.
Transport & Travel Management
- Coordinate employee transportation and company vehicle utilization.
- Maintain vehicle records, insurance, permits, PUC, and servicing schedules.
- Arrange travel bookings and accommodation for employees and visitors when required.
Asset Management
- Maintain records of company assets and administrative inventory.
- Conduct periodic asset verification.
- Coordinate repair, maintenance, and replacement of office assets.
Compliance & Safety Support
- Support compliance with statutory requirements related to administration.
- Coordinate fire safety equipment inspections and emergency preparedness activities.
- Ensure compliance with company safety policies and administrative procedures.
Visitor & Guest Management
- Manage visitor registration and reception coordination.
- Arrange meeting rooms, refreshments, and hospitality for guests and clients.
Documentation & Reporting
- Prepare monthly administrative reports, MIS, and expense statements.
- Maintain contracts, agreements, AMC records, and renewal schedules.
- Support audits by providing necessary administrative records.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Management, or any related discipline.
- Diploma in Administration or Facility Management is an added advantage.
Experience
- 3–5 years of experience in Administration, Facility Management, or Office Administration.
- Experience in a manufacturing or industrial environment is preferred.
Required Skills

- Good knowledge of facility and office administration.
- Proficiency in MS Office (Excel, Word, PowerPoint).
