- Reception and Greeting:
- Welcome and greet visitors, clients, and employees with a friendly and professional demeanor.
- Answer phone calls and direct them to the appropriate individuals or departments.
- Provide information and assistance to guests and direct them to the right person or area.
- Appointment Scheduling:
- Schedule appointments for meetings, interviews, or conference room reservations.
- Maintain and update appointment calendars.
- Mail and Correspondence:
- Handle incoming and outgoing mail, packages, and deliveries.
- Distribute and manage correspondence to the appropriate recipients.
- Visitor Registration:
- Register and issue visitor badges or passes to ensure security and track visitor movement.
- Administrative Support:
- Assist with general administrative tasks, such as data entry, filing, and maintaining office supplies.
- Perform photocopying, scanning, and faxing as needed.
- Information Management:
- Maintain and update contact lists, directories, and information related to the organization.
- Problem Solving:
- Address and resolve visitor inquiries, concerns, or problems professionally and efficiently.
- Notify appropriate personnel about issues that require attention.
- Security and Access Control:
- Monitor access control, ensuring that only authorized personnel and visitors enter the premises.
- Follow security protocols and emergency procedures.
- Professional Appearance:
- Maintain a neat and organized front desk area.
- Ensure a professional appearance and demeanor.
- Technology Proficiency:
- Use office software, communication systems, and equipment (e.g., computer, phone systems) effectively.
Qualifications:
- High school diploma or equivalent (some organizations may prefer an associate's or bachelor's degree).
- Previous experience in a receptionist or front office role is beneficial but not always required.
- Excellent communication and interpersonal skills.
- Professional appearance and a friendly, welcoming attitude.
- Organizational skills and the ability to handle multiple tasks simultaneously.
- Customer service orientation and the ability to remain calm under pressure.
Note: Job location will be Nalasopara and candidates from western line will be preferred.
