Job Summary
The Front Office Executive is responsible for managing the day-to-day front office operations of the clinic. This role combines reception, patient counselling, administrative coordination, billing, accounts, and customer relationship management to ensure smooth clinic operations and an excellent patient experience.
Key Responsibilities
Reception & Patient Coordination
* Welcome and assist patients and visitors professionally.
* Register new patients and maintain electronic medical records.
* Schedule, confirm, and reschedule appointments.
* Manage patient flow and waiting times.
* Answer phone calls, WhatsApp messages, emails, and online enquiries.
* Coordinate doctor consultations and therapy appointments.
Patient Counselling
* Explain fertility, Panchakarma, Garbhasanskar, and wellness programs as guided by doctors.
* Counsel patients regarding treatment plans, packages, investigations, and follow-ups.
* Convert enquiries into consultations and admissions.
* Build strong patient relationships and ensure a positive experience.
* Maintain confidentiality of patient information.
Administration
* Ensure smooth daily clinic operations.
* Maintain patient records and documentation.
* Coordinate with doctors, therapists, laboratories, and vendors.
* Supervise housekeeping and clinic cleanliness.
* Manage inventory of medicines, stationery, and clinic supplies.
* Prepare daily operational and management reports.
* Ensure compliance with clinic SOPs and quality standards.
Accounts & Billing
* Generate bills, receipts, invoices, and payment records.
* Handle cash, UPI, card, and bank transactions.
* Maintain daily cash book and collection reports.
* Record expenses and assist with bookkeeping.
* Coordinate with the Chartered Accountant for accounting documentation.
* Prepare daily, weekly, and monthly financial reports.
Customer Relationship Management (CRM)
* Follow up with enquiries, appointments, and treatment plans.
* Send reminders for consultations and therapy sessions.
* Maintain patient feedback records.
* Support patient retention and referral programs.
Marketing Support
* Coordinate health camps, seminars, and awareness programs.
* Assist with social media enquiries and promotional activities.
* Maintain referral doctor and corporate relationship records.
Qualification
* Graduate in Commerce, Management, Healthcare, or any relevant discipline.
* Additional certification in Hospital Administration or Healthcare Management is preferred.
Required Skills
* Excellent communication in English, Hindi, and Marathi.
* Strong counselling and interpersonal skills.
* Basic accounting and billing knowledge.
* Computer proficiency (MS Office, Excel, clinic management software).
* Good organizational and multitasking abilities.
* Professional appearance and positive attitude.
* Ability to work independently and as part of a team.
Experience
* 1–3 years of experience in a hospital, clinic, fertility centre, or healthcare organization is preferred.
* Freshers with excellent communication and learning ability may also apply.

Pay: ₹8,646.55 - ₹28,482.57 per month
