The EDP Executive is responsible for ensuring accurate and timely data entry, maintaining service records, supporting workshop operations through the Dealer Management System (DMS), generating MIS reports, and coordinating with various departments to ensure smooth service operations while maintaining data accuracy and compliance with Maruti Suzuki standards.
Key Duties & Responsibilities:
- Perform accurate and timely data entry of service job cards, invoices, customer information, and workshop transactions in the Dealer Management System (DMS).
- Ensure all service-related transactions are updated in the DMS on a real-time basis.
- Verify job card details, labour operations, spare parts consumption, and invoice accuracy before billing.
- Coordinate with Service Advisors, Workshop Manager, Parts Department, Warranty Team, and Accounts for smooth workflow.
- Generate daily, weekly, and monthly MIS reports related to workshop performance.
- Maintain proper digital records of service documents and customer history.
- Monitor pending job cards, open repair orders, and ensure timely closure.
- Assist in preparing productivity, efficiency, and workshop performance reports.
- Support warranty documentation and ensure data accuracy for warranty claim processing.
- Ensure accurate customer and vehicle master data is maintained in the DMS.
- Perform system reconciliation between workshop operations, spare parts, and billing records.
- Monitor service appointments and update service status as required.
- Prepare reports required by management and Maruti Suzuki India Limited (MSIL).
- Maintain confidentiality of customer and dealership data.
- Assist during internal and external audits by providing required documentation and reports.
- Identify data discrepancies and coordinate with concerned departments for timely corrections.
- Ensure compliance with dealership SOPs, MSIL processes, and quality standards.
- Support implementation of new software updates and DMS process improvements.
- Maintain proper filing and documentation of workshop records.
- Perform any additional responsibilities assigned by the Service Manager or Workshop Manager.

Educational Qualification
- Graduate in any discipline (B.Com/BBA/B.Sc. preferred)
- Diploma or certification in Computer Applications will be an added advantage.
Experience
- 1–3 years of experience as an EDP Executive or Data Entry Executive in an automobile dealership.
- Experience in a Maruti Suzuki dealership or automotive DMS environment will be preferred.
