Duties & Responsibilities.
1. Receive all incoming calls and connect the call to the person for whom the call is meant. Receive the message if the person is not available either on his seat or in the office.
2. Attend to all outgoing calls. Keep the call pending till the required person has been contacted. In case person cannot be contacted for any reason what-so-ever inform accordingly.
3. Attend to all visitors. Give them the routine information which they require.
4. Receive all the POSTS& distribute the same after entry in the INCOMINGregister. Keep a proper record of all mails.
5. Despatch all the mail after entry in the dispatch register. Keep a proper record of all outgoing mail.
6. Maintenance of attendance record. Ensure correct IN & OUT time of all employees.
7. Ensure the office cleanliness including kitchen.
8. Ensure telephone, Xerox, and all extensions are functioning properly all the time. Lodge complaint and follow up till fault is rectified.
9. Procure and issue stationery and keep a proper record. Get approval of MWA before buying stationery. It should be procured yearly/quarterly basis as per nature of item in bulk to save cost.
10. Maintain library and carryout annual stock taking of non expendable stationary.
11. Organise monthly Tea-Party. It should be organized on the last day of the month or last Saturday of the month whichever is more convenient to management.
13. Up-to-date telephone directory.
14. Assist in typing letters in Hindi/English.
