Job Summary
We are seeking a professional, organized, and customer-focused Front Office Executive with prior experience in the Printing & Signage industry. The ideal candidate will be the first point of contact for customers, handling inquiries, coordinating with the sales and production teams, managing administrative tasks, and ensuring a seamless customer experience.
Candidates should have a good understanding of printing products, signage services, customer service, and office administration.
Key Responsibilities
- Welcome clients and visitors in a professional and friendly manner.
- Handle incoming phone calls, emails, WhatsApp inquiries, and walk-in customers.
- Understand customer requirements and coordinate with the Sales, Design, and Production teams.
- Prepare quotations, invoices, purchase orders, and other customer-related documents.
- Follow up with customers regarding quotations, approvals, artwork, production status, and deliveries.
- Schedule appointments and coordinate meetings with clients.
- Maintain customer records and update CRM or office databases.
- Coordinate courier services and document dispatch.
- Handle office correspondence and general administrative duties.
- Support the sales team by maintaining customer communication and documentation.
- Ensure the reception area and front office are well organized and presentable.
- Maintain office supplies and coordinate with vendors when required.
- Assist in preparing daily, weekly, and monthly reports.
Requirements
- Bachelor's degree in Business Administration, Commerce, or a related field.
- Minimum 1 years of experience as a Front Office Executive or Customer Service Executive in the Printing & Signage industry (Mandatory).
- Knowledge of commercial printing, digital printing, offset printing, large-format printing, and signage products.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Customer-oriented with excellent interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience using ERP or CRM software is an added advantage.
- Ability to work efficiently under pressure and meet deadlines.
