Job Summary:
As an Appointment Setter at Ultra Cryo & Recovery, you will play a critical role in generating appointments, creating revenue opportunities, and delivering an exceptional first impression for our company. You will be responsible for engaging with new leads, through phone calls, text messages, emails, and other approved outreach methods to schedule consultation appointments across all locations.
You will nurture relationships, educate prospects on our services, overcome objections, and guide individuals toward booking appointments that support their body contouring, facial rejuvenation, weight loss, and longevity goals.
Success in this role is measured by booking percentage, show percentage, speed-to-lead, activity levels, booking fee collections, CRM compliance, and overall contribution to company revenue goals.
This role requires excellent communication skills, a positive attitude, strong organizational abilities, and a results-driven mindset.
Pay:
This position will be part-time, starting pay is $8.00 to $10.00 per hour and working 30+ hours per week Monday - Sunday
Incentives:
$10 per shown appointment when booking fee is collected.
$5.00 per same day shown appointment no booking fee needed
Pay After 30 days:
After successfully completing the initial 30-day training and probationary period, the incentive structure changes to $25.00 for every booked and shown appointment where a booking fee was collected.

Responsibilities:
Tasks may include, but are not limited to:
Respond to new leads through phone calls, text messages, emails, CRM messaging, and other approved communication channels.
Maintain a speed-to-lead response time consistent with company expectations.
Contact and nurture new leads to schedule consultations and appointments.
Work assigned lead databases and follow-up opportunities from Day 0 through Day 21.
Educate prospective clients on Ultra Cryo & Recovery services and treatment options.
Utilize CRM software and lead management systems to document all communication, appointment activity, and lead progression.
Schedule appointments accurately within the correct location and provider schedule.
Collect booking fees and secure appointment commitments when applicable.
Follow company-approved communication scripts and sales processes.
Conduct follow-up communication until a clear outcome is achieved.
Meet or exceed daily, weekly, and monthly activity expectations and performance goals.
Maintain accurate and detailed records of all client interactions and communication history.
Monitor appointment outcomes and assist with recovering missed opportunities.
Communicate effectively with Center Managers regarding lead activity and opportunities.
Provide exceptional customer service throughout the entire booking process.
Maintain consistent brand messaging and always represent Ultra Cryo & Recovery professionally.
Participate in training, coaching, team meetings, and development opportunities.
Contribute ideas and feedback to improve lead generation, booking rates, show rates, and client experience.
Other duties as assigned.
Key Performance Indicators (KPIs):
Complete a minimum of 300+ outbound activities per day, including calls, texts, emails, CRM messages, and follow-up communication.
Maintain consistent outreach efforts throughout scheduled working hours.
Respond to new leads as quickly as possible, with a goal of less than 1 minute during scheduled working hours.
Achieve a minimum New Lead Booking Rate of 35%.
Maintain a minimum show rate of 50%.
Collect 90%+ booking fees according to company policies and procedures.
Document 100% of lead activity, conversations, appointment outcomes, and follow-up actions within the CRM.
Maintain attendance, punctuality, and schedule adherence of 95% or greater.
Consistently follow approved scripts, processes, and communication standards.
Attend all required meetings, coaching sessions, and training programs.
Maintain professionalism in all communications representing Ultra Cryo & Recovery.
Failure to consistently meet performance standards may result in additional coaching, corrective action, performance improvement plans, or termination.
Qualifications and Skills:
High school diploma or equivalent.
Previous experience in appointment setting, inside sales, customer service, call center operations, lead generation, or related fields preferred.
Proficiency in CRM software, lead management systems, scheduling software, and Microsoft Office applications.
Excellent verbal and written communication skills.
Strong phone communication and objection-handling abilities.
Ability to multitask while maintaining a high level of professionalism and customer service.
Strong organizational and time management skills.
Self-starter who can work independently and maintain productivity in a fast-paced environment.
Ability to manage multiple priorities and deadlines simultaneously.

Working Environment:
