Job Description:
The Transport Manager is responsible for overseeing and managing all transportation-related operations for the school, ensuring the safe, efficient, and timely movement of students and staff. This role includes managing the school’s fleet of vehicles, coordinating bus schedules, ensuring adherence to safety regulations, and maintaining relationships with drivers and transport vendors.
Key Responsibilities
1. Fleet Management
- Oversee the school’s fleet of vehicles, ensuring that all buses and vehicles are well-maintained, clean, and operational.
- Schedule regular maintenance and servicing of school vehicles to ensure they are in good working condition.
- Maintain a detailed log of vehicle usage, fuel consumption, servicing records, and other relevant information.
- Ensure vehicles comply with all legal requirements, including insurance, permits, and fitness certificates.
2. Route Planning and Scheduling
- Design and manage bus routes and schedules, ensuring that pick-up and drop-off times for students and staff are timely and efficient.
- Optimize transport routes for efficiency, safety, and fuel consumption.
- Monitor traffic conditions, weather forecasts, and other factors that could affect transportation schedules and make adjustments as necessary.
3. Safety and Compliance
- Ensure all transportation operations comply with local traffic laws and regulations, as well as school-specific policies.
- Conduct regular safety drills and ensure that all drivers are trained on emergency procedures.
- Implement and oversee the enforcement of student safety policies on buses, including proper seating, seat belt use, and behavior monitoring.
- Ensure that all drivers possess valid licenses, medical clearances, and other necessary certifications.
4. Driver and Staff Management
- Recruit, train, and supervise drivers and transport staff, ensuring they adhere to safety standards, professionalism, and school policies.
- Conduct regular performance reviews for drivers and other transportation staff.
- Address and resolve any concerns or complaints related to drivers or transportation services.
5. Communication and Coordination
- Act as the primary point of contact for all transport-related queries, including communication with parents, students, and school staff.
- Coordinate with parents and guardians to ensure clear communication regarding bus routes, schedules, and any changes in transportation plans.
- Liaise with external transport vendors and suppliers for outsourcing transportation needs (if applicable).
6. Budget and Cost Control
- Manage the transport department’s budget and ensure that all operations are carried out in a cost-effective manner.
- Monitor and control transportation expenses, including fuel costs, maintenance expenses, and other operational costs.
- Ensure procurement of necessary parts and services for vehicle maintenance within budgetary constraints.
7. Problem Solving and Crisis Management
- Respond quickly to any emergencies, including vehicle breakdowns, accidents, or route changes due to unforeseen circumstances.
- Develop and implement contingency plans for transportation-related disruptions (e.g., vehicle substitutions, delays).
