SECRETARY – SENIOR ACCOUNTANT - JOB DESCRIPTION
Primary Role:
Ensure proper implementation of the accounting system and oversee the financial administration of IGH, MAIN A/C, GRATUITY A/C, and PROJECTS, in accordance with the Catering Establishment Act and relevant statutory requirements.
1. Accounting & Financial Management
- Maintain Cash Book and Ledger for IGH.
- Prepare monthly, quarterly, and annual statements of accounts for presentation to the Finance Committee / Board.
- Supervise total accounting operations, including costing, budgeting, and expenditure control.
- Oversee the Accounts Department (Cashier, Accounts Assistants) and ensure proper daily operations.
- Ensure proper voucher entries in Tally and data transfer from HMS is accurate.
- Verify Master Bills are raised properly and collections from guests are made promptly.
2. Compliance & Statutory Responsibilities
- Handle all GST, TDS, and other statutory obligations.
- Ensure compliance with tax laws and provisions relevant to social service organizations, catering establishments, and the Tamil Nadu Societies Registration Act.
- Prepare accounts for audit, coordinate with statutory auditors, and ensure timely completion of audits.
- Maintain correspondence with suppliers, auditors, and creditors as required.
3. Billing & Receivables
- Ensure daily checking of bills raised by Catering, Housekeeping, Reception, and Telephone departments for correctness.
- Supervise dispatch and follow-up of credit bills to companies.
- Verify department bills (e.g., telephone) for accuracy of rates, calculations, and totals.
- Maintain accounts for guest advance payments and prepare periodical outstanding statements.
- Ensure cash collection remittance to the bank before closing hours without omission.
- Approve all petty cash vouchers before payment.
4. Payroll & Staff Welfare
- Verify correctness of overtime allowances and service charges for administrative and support staff.
- Supervise accounting for gratuity, staff welfare (medical, holiday, and festival allowances), salary, ESI, PF, professional tax, and overtime.
5. Stores & Inventory Oversight
- Check and oversee stock registers for:
- Housekeeping Department
- Dining Department
- Main and Sub-stores
- Main kitchen
- Building & Maintenance
- Ensure accurate accounting for inventory and supplies.
6. Reporting & Escalation
- Bring to the notice of Manager IGH, Executive General Secretary, or Treasurer any omissions or irregularities in accounts for immediate remedial action.
- Submit necessary proposals, ratifications, and reports to the Finance Committee / Board as required.
7. Additional Duties
- Perform any special assignments or tasks assigned by the Manager IGH, Administrator, General Secretary, or Treasurer.
- Ensure all accounting, reporting, and statutory obligations are performed timely and accurately.
Pay: ₹25,000.00 - ₹30,000.00 per month
