1. Student Data & Academic Systems
The "heart" of academy administration is the Management Information System (MIS) (e.g., SIMS, Arbor, or Bromcom).
- Attendance Tracking: Recording daily attendance, managing late arrivals, and initiating "First Day Calling" for students who are absent without notice.
- Assessment & Reporting: Coordinating the entry of student grades and the production of academic reports for parents.
- Admissions & Transitions: Managing the application process for new students and the secure transfer of records (CTFs) for students leaving the academy.
- Timetabling: Assisting leadership in scheduling classes and managing the daily "cover" list for absent teachers.
2. Safeguarding & Security
Academies have strict legal obligations to ensure student safety.
- The Single Central Record (SCR): Maintaining the mandatory register of all staff, volunteers, and contractors, ensuring everyone has an up-to-date DBS (background) check.
- Visitor Management: Operating secure entry systems and ensuring all visitors are identified, signed in, and briefed on safeguarding protocols.
- Medical & First Aid: Managing student medication records and ensuring accident reports are logged in compliance with health and safety laws.
3. Compliance & Governance
Since academies are independent trusts, they have unique reporting requirements.
- Census Returns: Preparing and submitting the "School Census" to the Department for Education (DfE), which determines the academy's funding.
- Policy Management: Ensuring all academy policies (Behavior, GDPR, Safeguarding) are updated, approved by the Board of Governors, and published on the website.
- Clerking for Governors: Taking minutes for local governing body meetings and maintaining records of their decisions.
4. Financial Administration
- ParentPay/Income: Managing cashless payment systems for school meals, uniforms, and extracurricular trips.
- Procurement: Ordering educational resources (stationary, textbooks) and liaising with external contractors for facility maintenance.
- Trip Logistics: Handling the administration of school excursions, including risk assessments and parental consent forms.
5. Communication & Stakeholder Relations
- Brand Ambassador: Serving as the professional first point of contact for parents, inspectors (like Ofsted), and the local community.
- Internal Comms: Managing the academy calendar, parent newsletters, and social media updates.
- Liaison: Coordinating with external agencies such as Social Services, Educational Psychologists, and the Local Authority.
