About the Role
We are looking for a proactive and organized Business Development Coordinator to support the Business Development team in driving business growth through efficient lead management, client coordination, proposal management, and administrative support.
The ideal candidate should possess excellent communication, coordination, and relationship management skills while ensuring smooth execution of business development activities and maintaining accurate records throughout the sales lifecycle.
Key Responsibilities
Lead Generation & Pipeline Management
- Identify and maintain potential business leads through market research, referrals, client enquiries, and industry platforms.
- Maintain and update the lead pipeline with opportunity status, follow-up schedules, priorities, and ownership.
- Track business opportunities from enquiry to proposal submission, negotiation, work order, and project closure.
Proposal & Client Coordination
- Coordinate the preparation and sharing of proposals, presentations, commercial documents, and company credentials.
- Follow up with clients regarding proposal submissions, feedback, commercial discussions, and next steps.
- Ensure all client communications are timely, accurate, and professionally documented.
Meeting & Internal Coordination
- Schedule and coordinate client meetings, internal review meetings, presentations, and follow-up discussions.
- Prepare meeting agendas, circulate relevant documents, and record action items.
- Coordinate with internal teams to ensure timely responses to client requirements and business opportunities.
Client Relationship Management
- Serve as the primary coordination point for routine client communication and documentation.
- Build and maintain strong relationships with prospective and existing clients.
- Maintain records of client interactions, requirements, and follow-up activities.
MIS & Database Management
- Maintain accurate records of leads, proposals, client information, meetings, agreements, work orders, and billing status.
- Prepare periodic MIS reports, business development dashboards, pipeline reports, and status updates for management.
- Ensure confidentiality, accuracy, and timely updating of all business development data.
Commercial & Documentation Support
- Coordinate commercial documentation, billing inputs, agreements, purchase orders, and work orders.
- Follow up with internal stakeholders for invoice-related documentation and approvals.
- Maintain organized documentation for easy access and future reference.

Preferred Candidate Profile
- Graduate in any discipline; MBA preferred.
- 0–5 years of experience in Business Development Coordination, Sales Support, Proposal Management, Client Servicing, or similar roles.
- Exposure to the Architecture, Real Estate, Construction, Design, Consulting, or Professional Services industry will be an added advantage.
- Ability to manage multiple assignments while maintaining accuracy and meeting deadlines.
Key Performance Indicators (KPIs)
- Accuracy and maintenance of the lead pipeline and business development database.
- Timely proposal preparation, sharing, and follow-up.
- Effective coordination between clients, business development teams, and internal stakeholders.
- Timely completion of commercial documentation and billing coordination.
- Professional client communication and relationship management.
