We are looking for a proactive and detail-oriented Admin Associate who can ensure our workplace remains organized, welcoming, and efficiently managed.
Job Summary
We are seeking an Admin Associate to oversee the day-to-day administrative operations of the office. The ideal candidate will ensure the workplace is clean, presentable, well-maintained, and fully operational while coordinating with housekeeping staff, vendors, and internal teams to deliver a seamless office experience for employees and visitors.
Key Responsibilities
- Ensure the office premises are clean, organized, and presentable at all times.
- Supervise and coordinate housekeeping staff to maintain hygiene standards.
- Monitor and replenish pantry supplies, stationery, and office consumables.
- Arrange refreshments, meals, and beverages for clients, guests, and internal meetings.
- Ensure conference rooms are prepared before meetings and client visits.
- Coordinate with vendors for office maintenance, repairs, and facility-related requirements.
- Maintain the overall aesthetics and ambience of the office, including reception, meeting rooms, and common areas.
- Handle office inventory and maintain records of administrative purchases and expenses.
- Manage courier services, incoming/outgoing mail, and deliveries.
- Support the HR and Admin team in organizing office events, celebrations, and employee engagement activities.
- Ensure office equipment (printers, coffee machines, ACs, etc.) is functioning properly and coordinate servicing when required.
- Maintain visitor records and provide a welcoming experience to guests.
- Ensure compliance with office policies, safety standards, and administrative procedures.
- Perform any other administrative duties assigned by the management.
