Job Summary
We are looking for an experienced and highly organized Doctor's Appointments Executive to manage consultations, procedures, investigations, follow-ups, and doctor schedules across multiple specialties. The ideal candidate must possess a strong understanding of medical terminology, treatment pathways, procedures, investigations, consultation protocols, treatment costs, and package combinations.
The primary objective of this role is to maximize appointment conversions, reduce doctor idle time, improve patient retention, and ensure seamless coordination between patients, doctors, diagnostics, and hospital departments.
Non-Negotiable Key Performance Indicators (KPIs)Appointment Conversion
- Convert a minimum of 90% of qualified enquiries into confirmed appointments.
Schedule Optimization
- Maintain doctor appointment schedules with less than 10% idle consultation slots daily.
Follow-Up Compliance
- Conduct appointment reminders and follow-up calls within scheduled timelines without misses.
Revenue Coordination
- Ensure patients are informed about relevant consultations, diagnostics, procedures, and treatment packages that may benefit their care journey.
Zero Scheduling Errors
- No double bookings, missed appointments, or incorrect specialty allocations.
Patient Retention
- Ensure all follow-up patients receive appointment reminders and rebooking assistance before due dates.
Key Responsibilities1. Appointment Management & SchedulingConsultation Booking
- Schedule OPD consultations across all specialties.
- Manage new, follow-up, second opinion, and referral appointments.
Doctor Calendar Management
- Coordinate doctor availability, leave schedules, operation theatre commitments, and emergency consultations.
- Optimize doctor schedules to maximize patient flow and minimize waiting times.
Procedure & Investigation Coordination
- Schedule diagnostics, procedures, endoscopies, surgeries, health checkups, and specialist consultations.
- Coordinate with laboratories, radiology, physiotherapy, dialysis, and other departments.
2. Medical Knowledge & Patient GuidanceTreatment Understanding
- Possess working knowledge of common medical conditions, procedures, investigations, surgeries, and treatment pathways.
Cost Awareness
- Understand consultation charges, investigation costs, procedure charges, surgery estimates, package inclusions, and exclusions.
Treatment Combinations
- Guide patients regarding related investigations, specialist referrals, health packages, and treatment combinations as advised by clinicians.
Clinical Escalation
- Escalate all medical advice requests, treatment decisions, diagnoses, and prescription-related queries to qualified medical professionals.
3. Patient Communication & CounsellingAppointment Counselling
- Explain doctor availability, consultation processes, estimated waiting times, and hospital workflows.
Reminder Management
- Conduct appointment confirmations, reminders, cancellations, and rescheduling communications.
Follow-Up Coordination
- Maintain periodic communication with patients requiring review consultations and ongoing treatment plans.
Language Proficiency
- Communicate professionally with patients in English, Tamil, and Hindi (preferred).
4. Revenue & Service CoordinationService Recommendations
- Coordinate appropriate appointments based on patient requirements and doctor instructions.
Cross-Department Coordination
- Liaise with Billing, Front Office, Nursing, Diagnostics, Pharmacy, Physiotherapy, and OT departments.
Medical Tourism Support
- Coordinate appointments and schedules for domestic and international patients.
5. Documentation & System ManagementHIS/EMR Management
- Update appointments, patient records, referrals, investigations, and follow-up schedules in the Hospital Information System.
Reporting
- Maintain daily reports covering:
- New Appointments
- Follow-Up Appointments
- Missed Appointments
- Doctor Utilization
- Conversion Ratios
- Cancellation Analysis
Data Accuracy
- Ensure complete and accurate patient information at all times.
6. Service Excellence & EscalationPatient Experience
- Ensure smooth appointment experiences and minimal patient complaints.
Issue Resolution
- Address scheduling conflicts and patient concerns promptly.
Escalation Management
- Report operational bottlenecks to the Hospital Administrator immediately.
