Accountant & Administration Executive – Café Operations
We are looking for a responsible and detail-oriented Accountant & Administration Executive to manage the daily accounting, inventory coordination, billing, and administrative requirements of our café.
Key Responsibilities
- Record and reconcile the café’s daily sales across cash, card, UPI, delivery platforms, and other payment modes.
- Prepare daily sales reports and identify any differences in collections or settlements.
- Maintain and regularly update all accounting entries in Tally.
- Raise customer, corporate, vendor, and other operational invoices as required.
- Maintain purchase bills, expense bills, payment records, petty cash, and supporting documents.
- Track outstanding vendor payments and customer receivables.
- Coordinate with the kitchen and operations team to monitor raw-material and packaging inventory.
- Maintain stock records and track consumption, wastage, shortages, and closing inventory.
- Inform management about low-stock items and coordinate purchase orders and replenishment with approved vendors.
- Verify supplier invoices against purchase orders and goods received.
- Support monthly stock audits and physical inventory verification.
- Maintain employee attendance, leave records, joining documents, salary inputs, and other basic HR administration.
- Coordinate employee onboarding, documentation, uniforms, ID cards, and staff records.
- Assist with payroll preparation and provide required information to management or external consultants.
- Maintain organised physical and digital records of invoices, bills, employee documents, licences, and café-related documentation.
- Coordinate with auditors, chartered accountants, vendors, and internal teams whenever required.
- Prepare periodic MIS reports covering sales, expenses, purchases, inventory, and outstanding payments.
Required Skills and Experience
- Strong working knowledge of Tally, including sales, purchase, payment, receipt, journal, and inventory entries.
- Good understanding of accounting principles, billing, reconciliation, and documentation.
- Proficiency in Microsoft Excel or Google Sheets.
- Experience in café, restaurant, retail, hospitality, or food-business accounting will be preferred.
- Ability to manage multiple responsibilities accurately and independently.
- Strong organisational, follow-up, and communication skills.
- Basic understanding of GST invoicing and statutory documentation is preferred.
Qualification
- Bachelor’s degree in Commerce, Accounting, Finance, or a related field.
- Relevant experience in accounting and administration.
- Candidates with excellent Tally knowledge and hands-on operational accounting experience will be given preference.
Role Summary
The candidate will be responsible for ensuring that the café’s sales, purchases, inventory, invoices, bills, employee records, and daily administrative activities are properly recorded, monitored, and reported to management.
Pay: ₹20,000.00 - ₹25,000.00 per month
