A hospital receptionist serves as the primary point of contact, facilitating patient flow by greeting visitors, scheduling appointments, managing multi-line phone systems, and maintaining accurate electronic medical records (EMR). They ensure compliance with confidentiality protocols, handle patient registration, verify insurance information, and coordinate with medical staff to support efficient daily operations.
Key Responsibilities
- Patient Intake: Welcoming patients, visitors, and vendors professionally, checking them in, and ensuring necessary forms (insurance, registration) are completed.
- Scheduling & Coordination: Scheduling appointments, managing cancellations, and coordinating referrals or follow-up appointments.
- Administrative Support: Handling incoming calls, directing inquiries, maintaining medical records, and performing clerical tasks like scanning, faxing, and filing.
- Billing & Payments: Collecting co-pays or payments, verifying insurance coverage, and assisting with billing inquiries.
- Communication & Safety: Providing information on services, guiding visitors, maintaining a tidy reception area, and following safety/confidentiality (HIPAA) protocols.
Required Skills & Qualifications
- Communication: Exceptional verbal and written communication skills to deal with patients, families, and medical staff.
- Technical Proficiency: Knowledge of medical software (EMR/EHR systems) and Microsoft Office Suite.
- Multitasking: Ability to handle high-stress environments, phone systems, and in-person queries simultaneously.
- Empathy & Professionalism: Providing compassionate care to distressed patients while maintaining confidentiality.
- Education: High school diploma or GED is usually required, with previous medical office experience preferred.
- Flexibility: Flexible with working in multiple shifts.
