Role Overview The Housing Society Office Manager is the backbone of the residential community, ensuring a safe, well-maintained, and harmonious living environment. This role requires a proactive professional who can seamlessly balance administrative duties, facility management, and resident relations while driving ongoing community projects to successful completion.
Core Responsibilities
- Society Daily Operations: Oversee the day-to-day administration of the society office. Manage housekeeping, security, and landscaping staff to ensure the premises are clean, secure, and running smoothly.
- Repair and Maintenance: Coordinate preventive and corrective maintenance for all common areas and society assets (lifts, water pumps, generators, clubhouse, etc.). Vendor management and regular facility inspections fall under this purview.
- Member and Tenant Bookkeeping: Maintain an up-to-date registry of all owners and tenants. Track move-ins and move-outs, ensure proper documentation (lease agreements, police verification), and assist the managing committee with maintenance fee collection records.
- Ongoing Projects Management: Act as the on-ground project manager for society upgrades or capital projects (e.g., painting, solar panel installation, amenity upgrades), ensuring contractors adhere to timelines and quality standards.
- Vehicle Parking Management: Allocate and monitor resident and visitor parking spaces. Enforce society parking rules and resolve disputes regarding unauthorized parking.
- Resident Helpdesk & Ticketing: Manage the society's grievance redressal system. Acknowledge, assign, and resolve tickets raised by residents regarding plumbing, electrical, administrative issues, etc. in a timely and professional manner.
- Inventory Management: Track and maintain the stock of essential society supplies (cleaning materials, electrical spares, diesel for generators, stationery, etc.). Ensure timely procurement without overstocking.
