About the Role
We are looking for a responsible, organised and proactive Operations Coordinator to manage the day-to-day operations of our Solar Energy, Hot Water Systems, Aircons businesses in Australia.
The employee will be based in Noida and will coordinate remotely with Australian customers, plumbers, electricians, installers, suppliers and internal team members.
The primary responsibility will be to ensure that every installation is properly planned, materials are delivered on time, customers and installers are kept informed, and each job progresses smoothly from booking through to completion.
When operational workload permits, the employee may also assist with customer follow-ups and sales activities.
This is a hybrid position. The employee may work from home but must be available to attend our Eco Tower, Noida office whenever required for meetings, training, coordination or other business needs.
Key Responsibilities
Installation Coordination
- Coordinate Solar Energy, Hot Water Systems, Aircons installations from booking to completion
- Communicate with customers to confirm installation dates, site access and job requirements
- Coordinate with plumbers, electricians, solar installers and other contractors
- Confirm installer availability and schedule jobs accordingly
- Ensure customers and installers receive all required information before installation
- Follow up with installers before, during and after each job
- Reschedule installations when required and keep all parties informed
- Track installation progress and ensure jobs are completed on time
Material and Delivery Coordination
- Organise solar and water filtration materials required for each installation
- Coordinate with suppliers, warehouses, couriers and installers
- Ensure correct materials are ordered and delivered to the correct site
- Confirm delivery dates and track delayed or missing items
- Verify that installers have all required products, fittings and documents before attending site
- Maintain records of material orders, deliveries and shortages
- Escalate urgent material or delivery issues to management
Customer Coordination
- Contact customers to confirm bookings and installation schedules
- Provide customers with installation preparation instructions
- Respond professionally to customer questions and concerns
- Keep customers updated if there are delays or changes
- Follow up after installation to confirm completion and customer satisfaction
- Collect required customer documents, payments or confirmations
- Maintain professional communication through phone, WhatsApp and email
Administrative and Operational Support
- Update customer and job information in CRM and operational systems
- Maintain accurate notes for every customer interaction
- Track pending installations, materials, payments and follow-up actions
- Prepare daily and weekly operational status reports
- Maintain installer, supplier and customer records
- Ensure important tasks are completed within deadlines
- Assist management with general operational and administrative activities
- Identify operational problems and suggest practical solutions
Sales Support
When operational workload permits, responsibilities may also include:
- Following up with new and existing sales leads
- Calling customers who have enquired about solar or water filtration systems
- Understanding customer requirements
- Providing approved product and pricing information
- Booking consultations or appointments
- Updating sales conversations and next actions in CRM
- Supporting the sales team with follow-ups and customer communication
Skills and Experience Required
- Strong spoken and written English
- Excellent organisational and time-management skills
- Ability to manage multiple jobs and priorities at the same time
- Strong follow-up and coordination skills
- Confident telephone and WhatsApp communication
- Ability to communicate professionally with Australian customers
- Good attention to detail
- Ability to work independently without constant supervision
- Comfortable working with contractors, customers and suppliers
- Basic knowledge of Microsoft Excel, Google Sheets or similar tools
- Experience using CRM, task-management or accounting software
- Ability to maintain accurate records and provide regular updates
- Reliable internet connection, laptop and mobile phone
- Willingness to attend the Noida office whenever required
