Key Responsibilities
1. Dealer Order Tracking & Validation
● Capture and track customer orders received from dealers.
● Verify order completeness (SKU, quantity, specifications, timelines, payment terms).
● Coordinate with Sales team for clarification or corrections.
● Maintain real-time order tracking dashboard.
● Ensure all confirmed orders are updated in ERP/CRM systems.
2. Order Analysis & Production Planning Support
● Analyse incoming dealer orders and consolidate demand.
● Convert dealer demand into structured production order sheets.
● Prioritize production based on:
o Dispatch deadlines
o Stock availability
o Dealer category/territory priority
o Business targets
● Support monthly and weekly production planning discussions.
3. Production Order Placement & Monitoring
● Raise production orders in coordination with factory/production team.
● Monitor production status daily against committed timelines.
● Identify bottlenecks or delays and escalate proactively.
● Ensure production aligns with confirmed dealer commitments.
4. Production Allocation to Dealers
● Allocate finished goods based on:
o Confirmed dealer orders
o Payment status / credit approval
o Territory and strategic priorities
● Maintain allocation tracker for management visibility.
● Prevent misallocation or dispatch conflicts.
5. Dispatch & Shipment Tracking
● Coordinate with logistics/dispatch team for shipment scheduling.
● Track shipment details (LR number, dispatch date, expected delivery).
● Share dispatch status updates with dealers and sales team.
● Handle dispatch-related discrepancies and follow-up until closure.
6. Dealer Communication & Status Updates
● Share order-wise production & dispatch status proactively.
● Respond to dealer queries regarding order timelines.
● Maintain structured communication to improve dealer confidence and transparency.
7. MIS & Reporting
Prepare and share periodic MIS including: - Order inflow vs production capacity - Pending production orders - Dispatch status report - Dealer-wise allocation summary - Order aging report - Revenue pipeline tracking (Order-to-Dispatch conversion) - Production vs Demand variance report
Ensure reports are accurate, timely, and decision-oriented.
Additional Responsibilities
A. Demand Forecasting Support
● Analyse historical order trends and seasonality.
● Support management in preparing rolling demand forecasts.
● Assist in identifying demand spikes or slowdowns in advance.
B. Inventory Coordination
● Track finished goods stock vs dealer demand.
● Flag slow-moving SKUs or potential stock shortages.
● Support stock balancing across territories.
C. Payment & Dispatch Alignment
● Coordinate with Finance to ensure dispatch against approved credit/payment status.
● Track payment-linked dispatch conditions where applicable.
D. CRM / ERP Discipline & Data Accuracy
● Ensure all orders, production status, dispatch details are accurately updated.
● Maintain clean and reliable operational data for reporting.
E. S&OP Meeting Coordination
● Support preparation of monthly S&OP review decks.
● Provide structured data inputs for management decision-making.
● Track action items emerging from S&OP reviews.

Experience & Qualification
● Graduate (Commerce / Operations / Supply Chain preferred)
● 2–5 years of experience in:
o Sales coordination
o Production planning support
o Supply chain operations
o Manufacturing or distribution environment
Experience in building materials, manufacturing, or dealer-based distribution business preferred.
