Position: Admin Head
Department: Administration & Facilities
Reporting To: Director / CEO / COO
Role Summary
The Admin Head is responsible for leading all administrative, facility, and support operations of the organization. The role ensures smooth day-to-day functioning, efficient resource utilization, statutory compliance, vendor management, infrastructure maintenance, and administrative support across departments.
Key Responsibilities1. Administration & Facilities Management
- Lead overall administration and office operations.
- Manage facilities, infrastructure, housekeeping, security, transport, and maintenance.
- Ensure smooth functioning of all office and support services.
- Monitor office assets, utilities, and inventory.
2. Vendor & Contract Management
- Manage vendors, service providers, and AMC contracts.
- Negotiate contracts and ensure quality service delivery.
- Oversee procurement of office supplies and services.
- Track vendor performance and cost optimization initiatives.
3. Budget & Cost Control
- Prepare and manage annual administration budgets.
- Monitor expenses and implement cost-control measures.
- Ensure timely processing of vendor payments and invoices.
4. Compliance & Governance
- Ensure compliance with statutory, legal, safety, and regulatory requirements.
- Coordinate audits, inspections, and documentation.
- Develop and implement administrative policies and SOPs.
5. Team Leadership
- Lead and mentor the administration team.
- Allocate responsibilities and monitor performance.
- Drive employee discipline and operational efficiency.
6. Security & Safety
- Ensure workplace safety, fire safety, and emergency preparedness.
- Manage security systems, visitor management, and access control.
- Conduct regular risk assessments and safety reviews.
7. Stakeholder Coordination
- Coordinate with HR, Finance, Operations, and external agencies.
- Liaise with government authorities, regulatory bodies, and local administration when required.
- Support management with reports and strategic initiatives.
Qualifications
- Bachelor's degree in Business Administration, Management, or related field.
- MBA preferred.
- 8–15 years of experience in Administration, Facilities, or Operations Management.
- Strong knowledge of vendor management, facility management, compliance, and budgeting.
Pay: ₹800,000.00 - ₹1,100,000.00 per year
