We are a Kolkata-based precision engineering company exporting high-precision components to 40+ countries across Europe, the Middle East, CIS, and Southeast Asia. We are looking for an experienced, self-driven Export Documentation Executive to join our operations team at our Paharpur Road, Kolkata facility.
Candidates from freight forwarding agencies, logistics companies, or IT/hardware backgrounds will not be considered. Prior experience in a manufacturing, engineering, or MSME export setup is essential.
Role Overview End-to-end ownership of export documentation, international client communication, and MIS/CRM record management. This is a high-ownership, on-site role requiring someone who works accurately under deadline pressure with minimal supervision.
Key Responsibilities
- Prepare and verify export documentation: commercial invoices, packing lists, certificates of origin, Shipping Bills, Bill of Entry, airway bills, and LC compliance checklists
- Manage written communication with international clients in English — order confirmations, dispatch updates, proforma invoices, and payment follow-ups
- Maintain CRM records and export MIS on Excel: order tracking, dispatch logs, and client-wise outstanding statements
- Coordinate international courier dispatches via FedEx and DHL
- Coordinate with CHAs, freight forwarders, and internal accounts team on export entries; working knowledge of Tally is an advantage
- Use AI productivity tools such as ChatGPT for documentation drafting and workflow efficiency where applicable — familiarity is an advantage, not a technical requirement
Requirements
- 3–5 years of hands-on export documentation experience within a manufacturing, engineering, or MSME company
- Advanced Excel skills — pivot tables, XLOOKUP, MIS reporting — core requirement
- Strong written and spoken English for direct international client communication, non-negotiable
- Hands-on experience with LC, SHB, BOE, and related export documentation
- Excellent organisational skills and ability to work independently with full ownership of the role
Pay: ₹18,000.00 - ₹25,000.00 per month
