A Reception Supervisor is responsible for supervising the Front Office team, ensuring smooth guest service operations, and maintaining hotel standards.
1. Team Supervision
- Supervise receptionists and front desk associates.
- Prepare staff duty rosters and shift schedules.
- Conduct daily briefings and handovers.
- Train new employees on hotel procedures and service standards.
- Monitor staff grooming, attendance, and performance.
2. Guest Service Management
- Ensure efficient guest check-in and check-out processes.
- Welcome VIP guests and handle special requests.
- Resolve guest complaints and service issues promptly.
- Maintain high levels of guest satisfaction and hospitality.
3. Reservation & Room Management
- Monitor room availability and occupancy status.
- Coordinate with Housekeeping for room readiness.
- Ensure accurate room allocation and upgrades.
- Verify reservation details and special requirements.
4. Cash & Billing Control
- Verify guest bills and settlement procedures.
- Monitor cash handling, credit card transactions, and deposits.
- Ensure accurate posting of charges in the PMS.
- Assist in night audit preparation when required.
5. Interdepartmental Coordination
- Coordinate with Housekeeping, Maintenance, Security, and F&B departments.
- Communicate VIP arrivals, group bookings, and special events.
- Ensure guest requests are followed up and completed.
6. Reporting & Administration
- Prepare daily occupancy and arrival/departure reports.
- Maintain guest records and registration documents.
- Monitor front office supplies and stationery.
- Submit shift reports to the Front Office Manager.
7. Safety & Compliance
- Ensure compliance with hotel policies and SOPs.
- Maintain guest confidentiality and data security.
- Follow emergency and evacuation procedures.
- Ensure proper documentation of incidents and lost & found items.
