Role Overview
The Receptionist & Office Administrator is responsible for managing the front desk, ensuring a professional first impression for all visitors, and supporting smooth day-to-day office operations through efficient administration, vendor coordination, and discipline enforcement.
Reports To: EA / Managing Partner
Location: Office No.5, 1st Floor, Surya Mahal Building, B Bharucha Rd, Kala Ghoda, Fort, Mumbai Maharashtra – 400013.
Qualification & Experience
- Graduate in any discipline.
- 2–5 years of experience in Administration, Front Office, or Office Management.
- Experience in vendor management and reception activities preferred.

Key Responsibilities
Front Desk & Reception Management
- Greet all visitors professionally
- Ensure minimal guest waiting time (<5 mins)
- Maintain visitor records
- Handle incoming calls and routing
- Ensure reception area cleanliness
Office Administration
- Maintain office supplies and inventory
- Coordinate housekeeping and maintenance
- Manage courier logs
- Ensure office infrastructure is functional
Vendor Management
- Source vendors (minimum 5 quotes)
- Maintain vendor database
- Negotiate best pricing
- Manage AMC and service vendors
Invoice & Billing Coordination
- Collect and verify invoices
- Maintain proper records
- Coordinate with Accounts for payments
- Track due dates
Office Discipline & Decorum
- Ensure punctuality and discipline
- Enforce dress code compliance
- Maintain professional environment
Guest Experience & Hospitality
- Prepare meeting rooms
- Ensure premium experience
- Offer refreshments to guests
IT Asset Management & Coordination
- Maintain inventory of mobiles, laptops and IT accessories
- Track asset issue, returns and handover at onboarding/offboarding
- Coordinate with IT vendor for repairs, replacements and troubleshooting
- Ensure proper documentation and tracking of all IT assets
Pantry & Office Support Team Management
- Manage pantry operations (stock, quality, hygiene)
- Supervise office boys and allocate daily tasks
- Ensure meeting refreshments and daily office service readiness
- Maintain discipline and performance standards for support staff
