In our fast-paced FMCG environment, this role goes beyond traditional reception. You will manage our front desk operations, coordinate crucial vendor-facing administrative tasks, and ensure seamless daily office operations that keep our supply chain and corporate teams moving efficiently.
Key Responsibilities1. Front Desk & Guest Relations (40%)
- Brand Ambassador: Greet and welcome visitors (distributors, agency partners, corporate guests, and candidates) with a warm, professional demeanor.
- Inbound Communication: Manage a high-volume central switchboard; screen, route calls, and take accurate messages for internal departments (Sales, Marketing, Supply Chain, HR).
- Visitor Management: Maintain office security by following visitor logging procedures, issuing guest badges, and notifying hosts upon guest arrival.
2. Office Administration & Facilities Support (40%)
- Logistics & Courier Management: Oversee the dispatch and receipt of urgent shipments, marketing samples, and legal documents. Maintain detailed logs of incoming and outgoing couriers.
- Inventory Control: Track and manage inventory for office supplies, stationery, and front-office pantry goods. Raise purchase requisitions when stocks run low.
- Meeting Room Management: Coordinate the scheduling of central conference rooms, ensuring they are clean, stocked, and equipped for executive or vendor meetings.
- Vendor Coordination: Act as the primary liaison for facilities vendors (cleaning staff, maintenance, water delivery) to ensure the reception and common areas are pristine.
Role RequirementsQualifications & Experience
- Education: Minimum 12th to Graduation in any stream.
- Experience: 6 Months –4 years of experience as a Front Office Executive, Receptionist, or Admin Coordinator, ideally within an FMCG, retail, or high-volume corporate environment.
Key Skills & Competencies
- Tech Savviness: Proficient in MS Office Suite (Word, Excel, Outlook) and comfortable learning internal visitor management or ticketing systems.
- Communication: Exceptional verbal and written communication skills in English (and local languages as applicable) with a polished corporate presence.
- Multitasking & Prioritization: Proven ability to manage a busy switchboard while handling physical walk-ins and administrative tasks without losing focus.
- Problem-Solving: A proactive, "can-do" attitude capable of handling high-stress situations or unexpected guest influxes calmly.
