What are we solving for?
Position Overview: We are seeking someone to lead the end-to-end execution and delivery of Forum's convenings. The role involves ensuring seamless event production, managing technical infrastructure, coordinating logistics and maintaining operational excellence across all convening formats while optimising resources and budgets.
What will you do?
Event Production Management:
-
Lead end-to-end event production across different convening formats: large-scale forums, intimate roundtables, thematic convenings, workshops, and hackathons

Develop and maintain detailed production plans outlining schedules, order of events, including responsibilities for each action, when it will happen, how long it will take, etc.
- Coordinate with production vendors and service providers

Ensure quality control of event setup and delivery

Manage on-ground team during event execution
Technical Infrastructure: Oversee all technical aspects of convenings, including:

Audio-visual requirements, live streaming and recording setups (if required), digital platforms and tools, event technology, etc.
- Manage technical vendors and ensure service quality

Ensure seamless hybrid event delivery when required
Logistics Management:
-
Coordinate venue selection, F&B management, etc.

Coordinate travel and accommodation arrangements for speakers, etc.
-
Coordinate transportation and ground support
-
Ensure compliance with safety and security protocols, PWD compliance, etc.
Budget & Administrative Management:
-
Develop and manage operational budgets for all convenings
-
Create cost estimates and manage vendor negotiations
-
Track expenses and ensure financial compliance
-
Maintain documentation and records
-
Process vendor payments and manage contracts
-
Handle administrative requirements and permissions
-
Manage insurance and risk management aspects
Who are we looking for in this role?
Experience:
5+ years of experience, with expertise in:

Managing large-scale event operations

Technical production management
-
Logistics coordination
-
Budget management
Preferably with:

Experience in multi-stakeholder events

Understanding of hybrid event delivery

Track record of managing complex logistics
