The organization operates a large fleet of construction machinery, commercial vehicles, pickups, and staff transportation vehicles to support project execution across multiple sites.
Position Summary
The Fleet Manager will be responsible for the overall management, maintenance, utilization, compliance, and cost control of the company's fleet assets, including construction machinery, equipment, cars, pickups, and transport vehicles. The role involves ensuring optimum fleet availability for project sites, managing drivers, maintaining documentation and insurance records, coordinating repairs and servicing, and ensuring fleet operations comply with statutory requirements.
Key ResponsibilitiesFleet Operations Management
- Manage and monitor the complete fleet of company-owned and hired vehicles, machinery, and equipment.
- Ensure availability of required vehicles and machinery as per project site requirements.
- Coordinate deployment and movement of fleet assets between sites.
- Track fleet utilization and optimize vehicle allocation to reduce downtime.
- Maintain records of equipment usage, fuel consumption, and operational efficiency.
Construction Machinery Management
- Manage all construction equipment and machinery deployed across project sites.
- Coordinate machinery allocation based on project schedules and operational demands.
- Ensure preventive maintenance schedules are followed.
- Monitor machine performance and breakdown reports.
- Arrange emergency repairs to minimize project delays.
Driver Management
- Manage and maintain driver rosters for company vehicles and pickups.
- Allocate drivers to General Managers, site teams, and project requirements.
- Monitor driver attendance, discipline, and performance.
- Verify driver's licenses and statutory compliance.
- Conduct driver safety briefings and training programs.
Vehicle Maintenance & Repairs
- Establish preventive and corrective maintenance schedules.
- Coordinate with workshops, service centers, and vendors.
- Monitor vehicle health and maintenance expenses.
- Ensure timely servicing, repairs, tyre replacements, and fitness inspections.
- Reduce fleet downtime through proactive maintenance planning.
Insurance & Documentation Management
- Manage insurance renewals for all vehicles and machinery.
- Maintain records of:
- RC Books
- Insurance Policies
- Fitness Certificates
- Pollution Certificates (PUC)
- Permits
- Road Tax Records
- Registration Documents
- Lease/Hire Agreements
- Ensure timely renewals and compliance with legal requirements.
Fuel Management & Cost Control
- Monitor fuel consumption and fuel efficiency.
- Investigate abnormal fuel usage and pilferage incidents.
- Implement fuel tracking and monitoring systems.
- Prepare monthly reports on fleet operating costs.
- Identify opportunities for cost optimization.
Vendor & Contractor Management
- Manage relationships with vehicle rental agencies, transport vendors, garages, and service providers.
- Negotiate rates for hiring vehicles and machinery.
- Evaluate vendor performance and service quality.
- Ensure timely processing and verification of vendor bills.
Compliance & Safety
- Ensure compliance with Motor Vehicle Act and other applicable regulations.
- Conduct regular safety inspections of vehicles and machinery.
- Implement fleet safety policies and procedures.
- Investigate accidents and maintain incident records.
- Ensure all drivers follow company safety standards.
Reporting & MIS
- Prepare daily, weekly, and monthly fleet reports.
- Maintain fleet inventory and asset tracking records.
- Submit utilization, maintenance, fuel, and cost reports to management.
- Analyze fleet performance and recommend operational improvements.

Required Qualifications
- Bachelor's Degree / Diploma in Mechanical Engineering, Automobile Engineering, Logistics, Transportation Management, or related field.
- Additional certifications in Fleet Management will be preferred.
Experience
- 8-15 years of experience in fleet management within Construction, Infrastructure, EPC, Mining, Logistics, or Heavy Equipment industries.
- Experience managing construction machinery and transport fleets.
- Strong exposure to maintenance planning and statutory compliance.
