Role Summary
The Order management specialist will act as the central coordination point for all customer orders across the organization.
The role is responsible for ensuring that every customer order received from the sales team is planned, tracked, coordinated, and dispatched on time by effectively managing communication between production, stores, purchase, dispatch, vendors, and logistics teams.
The successful candidate will establish systems and processes that provide complete visibility of all pending orders, inventory availability, production requirements, procurement requirements, and dispatch commitments.
This role is not a warehouse management or logistics role. It is an operational control and order fulfillment role responsible for driving execution across departments and ensuring customer commitments are met.
Key Responsibilities
- Order Entry: Accurately logging customer purchases, pricing, and discounts into business systems.
- Fulfillment Tracking: Monitoring inventory and coordinating with shipping teams to ensure on-time delivery
- Billing & Invoicing: Generating bills, applying payments, and resolving any billing disputes.
- Customer Support: Answering questions regarding order status, tracking, and product returns.
Order Management & Planning
- Receive and review all customer purchase orders from the sales team.
- Validate order requirements, delivery timelines, and inventory availability.
- Categorize orders into Ready Stock Orders, Production Orders and Procurement Orders.
- Allocate orders to the appropriate production, stores, or procurement teams.
- Maintain complete visibility of all open customer orders.
Order Fulfillment Control
- Track every customer order from receipt until dispatch.
- Maintain a live pending order dashboard.
- Monitor order aging and bottlenecks.
- Conduct daily order review meetings.
- Escalate delays and ensure corrective actions are taken promptly.
Production Coordination
- Coordinate daily with production planning teams.
- Monitor production progress against committed dispatch dates.
- Identify capacity constraints and production delays.
- Ensure manufacturing orders are completed as per schedule.
Inventory & Procurement Coordination
- Monitor stock availability for traded and manufactured products.
- Coordinate with purchase teams for timely replenishment.
- Ensure procurement actions are initiated before shortages occur.
- Establish reorder levels and inventory planning systems.
Dispatch Planning & Execution
- Prepare daily and weekly dispatch plans.
- Coordinate with stores, dispatch, logistics, and transport teams.
- Ensure vehicles, loading resources, and materials are available as required.
- Monitor dispatch execution against planned schedules.
Forecasting & Planning
- Prepare monthly dispatch forecasts.
- Monitor order pipeline and future requirements.
- Analyze demand trends and inventory requirements.
- Coordinate future production and procurement planning.
Process Improvement & Systems Development
- Develop and implement order tracking systems.
- Establish dashboards and operational reporting tools.
- Drive ERP usage and data accuracy.
- Eliminate manual order tracking methods and paper-based processes.

Compensation
Salary will not be a constraint for the right candidate with proven experience in managing operations, inventory, dispatches, and order fulfillment in building material, industrial, or manufacturing environments.
