Reception cum Admin Executive is responsible for managing front desk operations and supporting daily administrative tasks. The role includes greeting visitors, handling calls and correspondence, maintaining records, managing office supplies, and assisting with scheduling and coordination. The ideal candidate should have strong communication, organizational, and multitasking skills with a professional and customer-friendly approach.
Front Office Management:
· Keeping front desk tidy and presentable with all necessary material.
· Responsible for attending all the incoming calls, responding to them, redirecting or keeping messages.
· Required Good Communication skills (written & spoken).
· Responsible for greeting and welcoming all visitors at the front desk. Registering their names and contact details. Ensuring the front desk executive provides a professional and friendly service to guests.
· Providing Service and direct visitors where to go.
· Helping in Security by keeping tabs on who is coming and going and report anything suspicious by checking IDs, signing guests in and out.
· Check, sort and forwarding emails to the concerned departments.
· Receive letters, packages etc. and distributing them.
· Receiving and Dispatching of Invoices/Couriers.
· Managing and training the Front Office staff.
· Keep updated records and files Monitor office expenses, costs, bills.
Administration:
· Implementation of Daily Checklist.
· Providing assistance to the HOD of different departments.
· Office Management by ensuring all lights & fixtures, CCTV, EPBAX, Telephone Instruments, AC outdoor and indoor units, Genset, Electrical Panel, DB, MCB, UPS, software, hardware and Internet is functioning properly.
· Keeping track of Electricity/ Genset readings.
· Supervising Cleanliness of office and complete premises along with awnings & signage.
· Keeping conference room spic and span.
· Responsible for keeping all the stationary, pantry items, uniform supplies in the organization up to date and order for fresh stock.
· Ensuring the field staff to be in proper uniform and ensuring its compliance.
· Responsible for adhering to all the safety procedures and keeping the management informed about any kind of unsafe situation.
· Taking up other duties as assigned (travel arrangements, schedules etc.).
· Vehicle Management by ensuring their good working condition, timely insurance, pollution check along with their reading status (Km. & Fuel).
· Maintaining record for all contact numbers of office, employees, vendors, suppliers, Clients etc.
· Responsible for maintenance of all important documents, files and records in an organized manner.
· Office Coordination.
HR
· Assisting in daily HR Activities.
· Maintaining Employees data (personal files, DOJ, DOB etc.).
· Attendance management on daily basis.
· Procurement of I.D. Card, Visiting cards etc.
· Birthday wish to team members and arrangement for the same along with the gifts, cake and bouquet.
· Receiving biodata from the interview candidates and mentioning the date of interview, ensuring the candidates signature on it and forwarding to HR department for further processing.
· Training Coordination.
Submission of All MIS Reports
Pay: ₹10,000.00 - ₹15,000.00 per month
