Job Title: Correspondence Executive
Responsibilities:
1. Correspondence Management: Manage incoming and outgoing correspondence, including letters, emails, faxes, and other forms of communication.
2. Email Management: Monitor and respond to emails promptly, ensuring that inquiries are addressed accurately and professionally.
3. Letter Writing: Draft and prepare letters, memos, and other documents as required, maintaining a professional tone and adhering to company guidelines.
4. Document Control: Organize and maintain physical and electronic files of correspondence and documents for easy retrieval and reference.
5. Coordination: Coordinate with internal departments and external stakeholders to gather information, provide updates, and facilitate communication.
6. Calendar Management: Schedule appointments, meetings, and other events as requested, ensuring proper coordination and communication.
7. Follow-up: Follow up on outstanding tasks, requests, and commitments to ensure timely resolution and customer satisfaction.
8. Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
9. Quality Assurance: Ensure accuracy, completeness, and consistency of all correspondence and documentation.
Qualifications:
1. Bachelor’s degree in Business Administration, Communication, English, or a related field. (Master’s degree preferred)
2. Proven experience (X years) in a similar role, preferably in a corporate environment.
3. Excellent written and verbal communication skills, with a keen eye for detail.
4. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software.
5. Strong organizational and time management skills, with the ability to prioritize tasks effectively.
6. Customer service orientation with a professional and courteous demeanor.
7. Ability to work independently and collaboratively in a team environment.
8. Knowledge of office equipment such as printers, scanners, and fax machines.
