Role Purpose
The Admin Manager will be responsible for managing the overall administration, facility management, office operations, and maintenance activities of the company. The role requires ensuring smooth day-to-day functioning of the office by managing vendors, housekeeping, security, compliance, building maintenance, office assets, utilities, transport, and statutory requirements while maintaining a safe, efficient, and productive workplace.
Key Responsibilities
Administration & Office Operations
Manage day-to-day administration activities across the organization.
Ensure smooth office operations and employee support services.
Develop and implement administrative policies and SOPs.
Coordinate with all departments for administrative requirements.
Facility Management
Oversee complete facility management operations.
Ensure office infrastructure is properly maintained.
Manage office space planning and workplace improvements.
Coordinate preventive and corrective maintenance activities.
Building Maintenance
Supervise civil, electrical, plumbing, carpentry, painting, and building maintenance.
Ensure timely repair and maintenance of office premises.
Monitor Annual Maintenance Contracts (AMC).
Vendor Management
Identify, evaluate, negotiate, and manage vendors.
Handle housekeeping, security, maintenance, electrical, HVAC, transport, telecom, and utility vendors.
Monitor vendor performance and service quality.
Process vendor agreements and renewals.
AMC Management
Manage Annual Maintenance Contracts for:
Air Conditioners (HVAC)
DG Sets
UPS
Lift
Fire Fighting Systems
CCTV
Biometric Systems
Water Purifiers
Electrical Equipment
Housekeeping Management
Manage housekeeping staff and agencies.
Ensure cleanliness and hygiene standards.
Conduct regular inspections of office and common areas.
Monitor housekeeping consumables and inventory.
Pantry Management
Supervise pantry staff and pantry operations.
Ensure availability of refreshments and drinking water.
Maintain pantry inventory and hygiene standards.
Security Management
Supervise security guards and security agencies.
Monitor visitor management systems.
Ensure proper gate pass procedures.
Monitor CCTV and access control systems.
Conduct regular security audits.
Fire Safety
Ensure fire safety compliance.
Coordinate fire extinguisher inspections.
Organize mock drills and emergency preparedness.
Maintain Fire NOC records.
Compliance Management
Maintain statutory compliance records.
Coordinate licence renewals and inspections.
Ensure compliance with company policies and government regulations.
Support internal and external audits.
Asset Management
Maintain records of office assets.
Track asset allocation and movement.
Coordinate repair and disposal of company assets.
Inventory Management
Maintain office stationery, pantry, and consumable inventory.
Monitor stock levels and procurement requirements.
Utility Management
Manage electricity, water, internet, telephone, diesel, and utility services.
Monitor utility consumption and optimize operational costs.
Budget Management
Prepare and monitor the administration budget.
Control operational expenses.
Ensure cost-effective procurement and vendor services.
MIS Reporting
Prepare daily, weekly, and monthly administrative MIS reports.
Maintain vendor performance reports.
Track facility maintenance reports and expenses.
Transport Management
Coordinate employee transportation and company vehicles.
Monitor vehicle maintenance and fuel records.
Ensure driver documentation and compliance.
Electrical Maintenance
Coordinate maintenance of electrical systems.
Ensure uninterrupted power supply.
Manage electrical contractors and inspections.
HVAC Management
Monitor HVAC systems.
Ensure timely servicing and preventive maintenance.
DG Set Management
Monitor generator operations.
Coordinate servicing and fuel management.
Maintain DG maintenance records.
UPS Management
Ensure uninterrupted power backup.
Coordinate UPS servicing and battery maintenance.
Lift Management
Coordinate lift maintenance.
Ensure safety inspections and statutory compliance.
Pest Control
Schedule regular pest control activities.
Maintain hygiene and sanitation standards.
Visitor Management
Ensure proper visitor registration.
Monitor reception and visitor access procedures.
CCTV & Access Control
Monitor CCTV systems.
Ensure proper functioning of access control systems.
Coordinate repairs and upgrades.
Insurance Management
Coordinate office asset and property insurance renewals.
Maintain insurance documentation.
Lease Management
Manage office lease agreements.
Coordinate lease renewals and documentation.
Contract Management
Maintain vendor contracts and service agreements.
