The Factory Administrator is responsible for the overall administration of the factory and ensuring that all statutory, regulatory, environmental, and safety compliances are maintained. The role supports uninterrupted factory operations by coordinating with government authorities, managing administrative services, maintaining documentation, and ensuring timely renewals and statutory filings.
The ideal candidate should be organized, detail-oriented, and capable of independently handling factory administration and compliance activities.
Key Responsibilities
1. Factory Administration
- Oversee day-to-day administrative operations of the factory.
- Supervise housekeeping, security, and canteen services.
2. Statutory & Regulatory Compliance
- Maintain a compliance calendar for all statutory obligations.
- Ensure timely renewal of factory licenses, registrations, and permits.
- Coordinate submission of statutory returns and reports.
- Maintain all statutory registers and records.
- Track changes in applicable laws and ensure implementation.
- Ensure the factory remains audit-ready at all times.
3. Government Liaison
Coordinate and maintain relationships with:
- Factory Inspector
- Labour Department
- Pollution Control Board
- Fire Department
- Boiler Inspector
- Electricity Department
- Local Municipal Authorities
- Industrial Development Authorities
- Other statutory agencies
Represent the company during inspections and coordinate submission of required documents.
4. Environmental Compliance
- Coordinate Pollution Control Board requirements.
- Maintain records related to Water Consents.
- Monitor Hazardous Waste compliance.
- Ensure proper documentation of ETP operations.
- Coordinate environmental monitoring reports.
- Maintain waste disposal records.
5. Safety & Fire Compliance
- Coordinate periodic fire safety inspections.
- Ensure firefighting equipment is serviced and certified.
- Organize mock drills and safety awareness programs.
- Maintain accident and incident records.
6. Contractor & Vendor Management
- Coordinate contractor entry and work permits.
- Monitor performance of housekeeping, security, and facility management service providers.
7. Facility Management
- Coordinate maintenance of factory buildings and infrastructure.
- Monitor utility services including electricity, water, internet, and telecommunication.
- Ensure cleanliness and upkeep of factory premises.
- Coordinate civil, plumbing, electrical, and general maintenance activities.
8. Insurance & Legal Coordination
- Coordinate renewal of factory insurance policies.
- Maintain insurance documentation.
- Support claim documentation when required.
- Coordinate with legal consultants on compliance-related matters.
Experience
- 3–10 years of experience in factory administration within a manufacturing environment.
- Experience in paper, chemical, engineering, FMCG, packaging, or process industries preferred.
- Experience handling statutory compliance and dealing with government authorities is essential.
Skills Required
- Strong knowledge of factory administration.
- Good understanding of statutory and regulatory compliance.

- Effective communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
