Job Overview:
We are seeking a highly responsible and detail-focused Operations Executive to manage critical day-to-day store operations. This role plays a key part in ensuring accurate inventory control, smooth billing operations, efficient order processing, and timely delivery coordination.
The ideal candidate should be comfortable handling multiple operational tasks, maintaining data accuracy, and coordinating with different teams within the store. This position directly impacts stock accuracy, customer satisfaction, and overall store efficiency.
Key Responsibilities:
Inventory Management
- Conduct daily and periodic physical stock verification
- Maintain accurate stock records in ERP (Gofrugal or similar)
- Monitor stock movement (inward & outward) and ensure proper system entry
- Verify Goods Receipt (GRN) against supplier invoices during inward
- Identify and report stock shortages, excess stock, and mismatches
- Track and manage damaged, expired, or slow-moving items
- Ensure proper stock arrangement and storage practices
- Coordinate with purchase team for timely stock replenishment
- Support in monthly/weekly stock audits
Accounts & Daybook
- Record all daily transactions accurately (cash, UPI, credit sales, expenses)
- Maintain daybook in ERP (like Gofrugal) without missing entries
- Cross-check cash balance vs system balance at end of day
- Track credit customers (udhaar) and update outstanding amounts
- Assist in preparing basic daily sales reports
- Identify and report any cash mismatch or entry errors immediately
Order Processing
- Receive orders via phone calls and WhatsApp
- Clearly understand customer requirements (quantity, brand, variant)
- Enter orders into system as sales order (not direct billing)
- Coordinate with picker/packer staff for correct item collection
- Double-check order accuracy before sending for billing
- Handle basic customer queries (availability, price, substitutes)
Billing Support
- Generate invoices/bills using ERP during peak hours
- Ensure correct:
- Item selection
- Quantity
- Pricing & discounts
- Handle multiple billing queues efficiently during rush
- Assist customers with:
- Billing corrections
- Invoice reprint
- Support main cashier and act as backup biller when required
Customer Outreach & Cold Calling
- Make outbound calls to nearby customers to inform about, new stock, and services
- Follow up with existing customers for repeat orders
- Contact inactive customers and reactivate orders
- Maintain a basic customer contact list for follow-ups
