Executive Assistant to the Managing Director
Role Overview
We are seeking an experienced Executive Assistant to provide high-level administrative and operational support to senior leadership. The role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key ResponsibilitiesExecutive & Calendar Management
· Manage calendars, schedule meetings, and coordinate calls for senior stakeholders
· Track and update daily schedules, to-do lists, and timesheets
· Send calendar invites and ensure seamless scheduling across teams
Communication & Coordination
· Manage internal and external emails, including drafting responses and follow-ups
· Coordinate with advocate teams to align schedules and availability
· Maintain and update contact databases and directories
Administrative Support
· Maintain timesheets, to-do lists, and contact lists regularly
· Process memberships, subscriptions, and event/webinar registrations
· Monitor emails and ensure timely responses and follow-ups
· Book conference rooms and ensure meeting readiness
Document & Office Management
· Coordinate document approvals and signatures from leadership
· Print, scan, and dispatch documents
· Maintain records of contacts and documentation
· Support procurement of stationery and office supplies
Travel Management
· Coordinate flights, visas, hotels, and local transport
· Liaise with travel agents for bookings and logistics
· Manage travel documentation and insurance
· Maintain travel records and costs
Front Office & General Administration
· Greet clients and visitors; manage guest experience
· Handle incoming calls and direct them appropriately
· Manage guest accommodation
· Ensure conference rooms and office facilities are operational
General Support
· Perform clerical duties and provide administrative support
· Undertake additional responsibilities as required
Key Requirements
· Minimum 8+ years of relevant experience
· Graduate degree (mandatory)
· Strong organizational and multitasking abilities
· Excellent communication skills (English required; Kannada and Hindi preferred)
· High level of professionalism and attention to detail
· Ability to work proactively and independently

Compensation
Salary will be commensurate with experience and qualifications.
