Job Summary
We are seeking a proactive and detail-oriented Tender Executive responsible for managing the complete tendering lifecycle from opportunity identification to final submission and post-bid tracking.
The role involves working extensively on government and PSU e-procurement portals, preparing technical and commercial bids, coordinating with vendors, and ensuring compliance with all tender requirements.
End-to-End Workflow:
Tender Identification → Portal Monitoring → Document Review → Bid Preparation → Vendor Coordination → Costing & BOQ → Online Submission → Follow-up & Result Tracking
Key Responsibilities1. Tender Identification & Portal Monitoring
- Regularly monitor and identify relevant tenders from government and PSU portals
- Work actively on CPPP (Central Public Procurement Portal)
- Manage tenders from GeM (Government e-Marketplace)
- Handle railway-related tenders on IREPS (Indian Railways E-Procurement System)
- Track opportunities from State Government e-Tender portals (West Bengal & others)
- Evaluate tender documents, scope of work, eligibility criteria, and deadlines
2. Bid Preparation & Online Submission
- Prepare complete technical and commercial bids as per tender requirements
- Ensure accurate documentation and compliance with portal guidelines
- Handle online bid submission through CPPP, GeM, IREPS and other portals
- Manage Digital Signature Certificate (DSC) based submission process
- Maintain proper record of submitted bids and supporting documents
3. Costing, BOQ & Vendor Coordination
- Float enquiries and collect quotations from vendors
- Prepare BOQ comparison, cost estimation, and rate analysis
- Support pricing strategy for competitive bidding
- Negotiate commercial terms with suppliers and vendors
4. Technical Documentation & Compliance
- Read and interpret technical drawings, specifications, and tender documents
- Ensure compliance with technical and commercial requirements
- Prepare supporting documents, declarations, and annexures
- Maintain proper documentation for audit and record purposes
5. Pre-Bid & Client Coordination
- Participate in pre-bid meetings and clarification discussions
- Handle queries raised by clients/portals
- Coordinate with internal departments for technical inputs
- Support site visits if required
6. Tender Tracking & Reporting
- Track tender status (submitted / under evaluation / awarded / lost)
- Maintain MIS reports and tender trackers in MS Excel
- Prepare regular updates for management review
- Follow up with departments and clients for results
Technical Competencies
- Strong hands-on experience in CPPP, GeM, IREPS & State e-Tender Portals
- Knowledge of government and PSU tendering processes
- Experience in online bid submission and DSC handling
- Strong understanding of costing, BOQ, and rate analysis
- Good MS Excel and documentation skills
Eligibility CriteriaEducation
- Diploma / Bachelor’s Degree in Engineering, Commerce, or related field
Experience
- 3–5 years of experience in:
· Tendering
· Government/PSU e-Procurement
· EPC / Infrastructure / Steel Industry preferred
