Key Responsibilities1. Scope & Documentation Management
- Prepare and maintain clear landlord–tenant work lists (Excel & WhatsApp).
- Categorize tasks into Pre-Possession and Post-Possession stages.
- Ensure all documentation is properly uploaded and organized in Google Drive.
- Keep formats updated and easily accessible.
2. Communication & Group Management
- Create and manage WhatsApp groups with correct naming format and brand logo.
- Post welcome messages and introductions in new groups.
- Share important updates, instructions, and notices promptly.
- Communicate urgent matters via call or WhatsApp (text/pictures/videos).
3. Drawings & Approvals Coordination
- Follow up for working drawings (PDF & AutoCAD formats).
- Follow escalation sequence: Email → WhatsApp → Call.
- Ensure all drawings are saved in Google Drive.
- Arrange conference calls for drawing clarifications if required.
4. Site Review & Visits
- Visit site after receiving drawings.
- Review drawings on-site for practical feasibility and clarity.
- Plan weekly visit routes for multiple ongoing sites.
- Increase site visits in case of urgent handovers.
5. Work Posting & Vendor Coordination
- Share pre-possession work lists in WhatsApp groups.
- Collect vendor contact details.
- Request and track start and finish dates from vendors.
- Guide vendors and project teams on complex issues.
- Provide reminders for timely completion.
6. Daily Updates & Timeline Tracking
- Post daily progress updates (completed / ongoing / pending works).
- Share photos and videos in group.
- Monitor timelines and compare with committed schedules.
- Maintain and update pending lists for unresolved items.
7. Handover Planning
- Provide 10 days’ advance notice before handover (via WhatsApp group + email).
- Ensure committed handover dates are achieved.
- Coordinate with stakeholders to avoid delays.
8. Post-Possession Monitoring
- Track post-possession works closely.
- Ensure completion within agreed deadlines.
- Escalate delays with solution-oriented approach.
9. Compliance & Priority Tasks
Ensure the following are completed at least 1 month prior to store opening:
- Fire NOC
- Power Load Approval
- Occupancy Certificate
- Completion Certificate
10. Problem Resolution & Escalation
- Identify issues proactively and propose practical solutions.
- Arrange coordination calls for vendor or drawing-related concerns.
- Escalate unresolved issues to management when necessary.
- Suggest operational improvements to management.
