JOB DESCRIPTION
SECRETARY
1. Counselling & Client Support
- Handle counselling cases, tele-counselling (India & overseas), follow-up sessions, and update cases in HYPR (Half-Yearly Report) and CSWB/State Social Welfare Board portal.
- Conduct initial client assessments and provide necessary interventions.
- Provide counselling to help clients develop skills to address and resolve social and personal challenges.
- Offer crisis intervention for high-risk cases.
- Conduct in-house counselling for Shelter Home inmates.
- Make client home visits when required.
2. Case Management & Reporting
- Maintain and update case files as per Central and State Social Welfare Board requirements.
- Prepare and submit reports: Half-yearly, Annual, Sub-Committee, Agenda, Minutes, Board Reports, Finance Recommendations, Cash Flow, News & Notes, and other reports requested by YWCA/Board.
- Communicate project activities regularly to the Chairperson, Executive General Secretary (EGS), and committee members.
3. Government & Legal Liaison
- Attend meetings organized by the Central Social Welfare Board and submit necessary reports.
- Visit Government and Non-Governmental agencies, including Welfare Board Office, Court, DSWO Office, and AWPS (Ayanavaram) for counselling and case follow-ups.
- Collaborate with Free Legal Aid services, Police Stations, Courts, and NGOs for client rehabilitation.
4. Administration & Compliance
- Obtain and renew statutory documents: Building License, Stability Certificate, Sanitary Certificate, Fire License, Food Safety Certificate, Ration Bulk Permit, and Shelter Home Registration.
- Oversee ration, stock, inventory, daily menu, medicines, vocational training sales and stock, fruit and milk register, telephone recharge register, client article register, and client attendance.
- Oversee all project reports, petty cash, and hold signing authority for project records and accounts.
- Manage staff attendance, assign duties, and ensure smooth day-to-day functioning of Sahodari & PASI Projects.
- Arrange committee and sub-committee meetings.
5. Programmes & Training
- Conduct awareness, outreach, and orientation programmes for different groups.
- Organize staff meetings for the project team.
- Train student trainees and volunteers in project activities and counselling practices.

3. Financial & Administrative Support
- Assist in formulating and revising budgets for Sahodari – I, II & PASI in consultation with the committee.
- Oversee petty cash accounts (Sahodari – I, II & PASI).
- Support the arrangement of committee and sub-committee meetings.
4. Programmes & Training
- Conduct awareness, outreach, and orientation programmes for different groups.
- Guide and supervise student trainees and interns from colleges.
5. Government & NGO Liaison
- Attend meetings conducted by the Central Social Welfare Board and submit required reports (Half-Yearly, Sub-Committee, Annual, etc.).
- Visit Government and Non-Governmental bodies, including the Welfare Board Office, DSWO Office, and AWPS Ayanavaram, for counselling and coordination.
Pay: ₹23,000.00 - ₹25,000.00 per month
