The Patient Care Coordinator is responsible for ensuring a smooth and efficient patient experience by coordinating reception, call center, billing, and admission services. The role serves as a key point of contact for patients and their families, providing assistance from registration through discharge while maintaining high standards of customer service.
Key ResponsibilitiesReception & Patient Registration
- Welcome and assist patients and visitors in a courteous and professional manner.
- Register patients and maintain accurate patient records in the hospital information system.
- Verify patient information and update records as required.
- Guide patients regarding consultations, investigations, and hospital services.
Call Center Management
- Attend incoming calls and respond to patient inquiries promptly.
- Schedule, reschedule, and confirm appointments.
- Coordinate with doctors and departments regarding appointment availability.
- Handle patient complaints and escalate issues when necessary.
Admission Coordination
- Facilitate inpatient admissions and room allocations.
- Complete admission documentation and obtain necessary approvals.
- Coordinate with nursing units, doctors, and other departments for smooth admission and discharge processes.
- Provide patients and attendants with information regarding hospital policies and procedures.
Billing & Insurance Coordination
- Prepare and process patient bills accurately and timely.
- Collect payments and issue receipts.
- Coordinate with insurance/TPA departments for approvals and claim-related documentation.
- Ensure compliance with hospital billing policies and procedures.
Patient Care & Customer Service
- Act as a liaison between patients and hospital departments.
- Address patient concerns and ensure timely resolution.
- Maintain a patient-friendly environment and promote patient satisfaction.
- Assist patients and attendants with service-related queries.
Administrative Responsibilities
- Maintain departmental records and reports.
- Ensure confidentiality of patient information.
- Prepare daily, weekly, and monthly reports as required.
- Support quality improvement initiatives and accreditation requirements.
Qualification & Experience
- Bachelor's Degree in any discipline (Hospital Administration preferred).
- 1–3 years of experience in healthcare, front office, billing, admissions, or customer service.
- Freshers with excellent communication skills may also be considered.
Skills Required
- Excellent communication and interpersonal skills.
- Customer service orientation.
- Knowledge of hospital billing and admission procedures.
- Proficiency in MS Office and Hospital Information Systems (HIS).
- Ability to multitask and work under pressure.
- Strong organizational and problem-solving skills.
Working Conditions
- Willingness to work in shifts, including weekends and holidays, as per hospital requirements.
- Ability to interact effectively with patients, attendants, doctors, and hospital staff.
