We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to work directly with the Managing Director and act as a key support partner in driving operational excellence across the organization. This role requires exceptional coordination skills, business acumen, analytical thinking, and the ability to manage multiple priorities in a fast-paced manufacturing environment.
The ideal candidate will serve as the central point of coordination between departments, ensuring smooth information flow, timely follow-ups, accurate reporting, and effective execution of business priorities.
Key Responsibilities
Executive Support
- Provide direct administrative and operational support to the Managing Director.
- Manage schedules, meetings, appointments, travel plans, and business commitments.
- Prepare reports, presentations, business summaries, and meeting minutes.
- Track action items and ensure timely follow-up and closure.
Business Coordination
- Coordinate with Production, Merchandising, Quality, Stores, HR, and Finance teams to collect and consolidate business data.
- Maintain and update operational trackers, dashboards, and performance reports.
- Monitor production status, order progress, inventory levels, quality metrics, and delivery timelines.
- Facilitate cross-functional communication and ensure alignment across departments.
Data Analysis & Reporting
- Create and maintain MIS reports, performance dashboards, and business trackers.
- Analyze operational data and provide actionable insights to support decision-making.
- Identify trends, bottlenecks, and improvement opportunities across business functions.
Process Improvement
- Develop and standardize documentation, SOPs, reporting formats, and workflows.
- Support the implementation of systems that improve efficiency, visibility, and accountability.
- Research industry trends, tools, and best practices to support business growth.
Strategic & Special Projects
- Assist in planning and executing strategic initiatives and special projects.
- Conduct market research, competitor analysis, and business studies as required.
- Support client meetings, presentations, and business reviews.
Qualifications
Education
- Bachelor's Degree in Business Administration, Commerce, Management, or a related field.
- MBA, PGDM, or relevant certifications will be an added advantage.
Experience
- 25 years of experience as an Executive Assistant, Operations Coordinator, Business Analyst, or similar role.
- Experience in manufacturing or garment/apparel industry preferred.
- Prior experience supporting business owners, founders, or senior executives is highly desirable.
Required Skills
- Advanced Microsoft Excel skills (Pivot Tables, Lookups, Dashboards, Data Analysis).
- Proficiency in Google Workspace and Microsoft Office.
- Strong documentation, presentation, and communication skills.
- Working knowledge of AI productivity tools such as ChatGPT, Perplexity, and related platforms.
- Excellent organizational, analytical, and problem-solving abilities.
- Ability to manage multiple tasks with accuracy and speed.
Preferred Skills
- Familiarity with ERP systems and manufacturing workflows.
- Knowledge of Power BI, Tableau, or other data visualization tools.
- Experience with project management tools and task-tracking platforms.
- Basic design and presentation skills using Canva and PowerPoint.

- Monday to Saturday
