The Front Office Executive is responsible for providing a warm and professional welcome to patients and visitors, managing patient registrations, scheduling appointments, handling enquiries, coordinating with clinical and non-clinical departments, and ensuring smooth front office operations while delivering excellent customer service.
Key ResponsibilitiesPatient Registration & Reception
- Welcome patients, attendants, and visitors courteously.
- Register new patients and update existing patient records in the Hospital Information System (HIS).
- Verify patient details and maintain accurate demographic information.
- Guide patients to the appropriate department or consultant.
Appointment Management
- Schedule, reschedule, and cancel appointments.
- Coordinate consultant schedules and appointment slots.
- Inform patients regarding consultation timings and any changes.
Patient Coordination
- Coordinate with OPD, IPD, Emergency, Laboratory, Radiology, Pharmacy, and Billing departments.
- Assist patients with hospital procedures and service-related queries.
- Ensure smooth patient flow and minimize waiting time.
Telephone & Communication
- Attend incoming telephone calls promptly and professionally.
- Respond to enquiries or direct calls to the appropriate department.
- Record and relay messages accurately.
Billing Support
- Assist patients with registration and consultation billing procedures.
- Coordinate with the billing department regarding payment-related queries.
- Ensure proper documentation before forwarding cases for billing.
Documentation
- Maintain patient registration records and front office documentation.
- Ensure confidentiality of patient information.
- File and organize records as per hospital policy.
Customer Service
- Address patient and visitor concerns politely.
- Escalate complaints to the Front Office In-Charge or Patient Relations Officer when required.
- Maintain high standards of hospitality and professionalism.
Coordination
- Coordinate with doctors, nursing staff, housekeeping, security, and other departments for seamless patient care.
- Communicate important operational updates to relevant departments.
