A receptionist is the face of a company, managing the front desk and handling daily administrative tasks. They are responsible for greeting visitors, answering phone calls, managing correspondence, scheduling appointments, and ensuring the office runs smoothly.
Key Responsibilities
- Front Desk Operations: Welcome guests, determine their needs, and direct them to the appropriate staff or department.
- Communications: Manage a multi-line phone system, screen and route calls, take messages, and respond to general inquiries.
- Office Administration: Sort and distribute mail, manage calendar appointments, and assist with clerical duties like filing, photocopying, and scanning.
- Security & Access: Maintain visitor logs, issue guest badges, and follow building security procedures.
- Environment Management: Keep the reception and waiting areas clean, organized, and stocked with necessary office supplies or brochures.
- Logistics & Support: Coordinate meeting room bookings and assist other departments (like HR or Operations) with event scheduling or travel arrangements
