About the Role:
We are looking for a highly organized, proactive and detail-oriented Executive Assistant to provide comprehensive support to the Founder’s Office. The ideal candidate will have prior experience managing senior leadership schedules, coordinating meetings, handling travel logistics and maintaining confidentiality in all business matters. This role requires excellent communication, time management and multitasking skills to ensure seamless operations at the executive level.
Key Responsibilities:
Calendar Management:
Manage and optimize the Founder’s Office calendar on a daily, weekly and monthly basis.
Schedule and coordinate internal and external meetings, events and reviews with appropriate buffers and prioritization.
Anticipate and resolve scheduling conflicts while maintaining accurate and updated calendar visibility.
Coordinate meeting logistics, share agendas and ensure all preparation materials are circulated in advance.
Travel & Itinerary Management:
Plan and book domestic and international travel arrangements — including flights, hotels, visas and local transfers — in line with company policies and leadership preferences.
Prepare detailed travel itineraries and ensure timely confirmations and documentation.
Liaise with travel partners, vendors and the finance team for smooth coordination and expense management.
Manage the submission and reconciliation of travel claims promptly.
Executive Support:
Handle confidential correspondence, documentation and report formatting.
Manage emails, calls, and messages for the Founder’s Office with professionalism and discretion.
Prepare executive presentations, memos and briefing documents as required.
Meeting Coordination:
Organize board meetings, leadership reviews and offsite sessions.
Record minutes, maintain action trackers and monitor follow-up items to closure.
Stakeholder Liaison:
Act as a key communication point between the Founder’s Office and internal/external stakeholders.
Manage coordination with senior leadership, clients, regulators and vendors professionally and efficiently.
Confidentiality & Office Administration:
Maintain strict confidentiality in all business matters and sensitive documentation.
Provide general administrative support to ensure smooth functioning of executive operations.
Experience:
2–6 years of experience as an Executive Assistant/Secretary to CXOs, Founders, or senior leadership in reputed organizations, preferably within BFSI, FinTech or corporate environments.
Education:
Bachelor’s degree required. A certification in Executive Assistance or Secretarial Practice will be an added advantage.
Skills:
Strong command over Gmail, Google Calendar and MS Office tools.
Excellent written and verbal communication.
Proficient in scheduling, travel planning and multitasking.
High level of discretion, attention to detail and professionalism.
Education:
Candidates must have completed at least a graduate degree (Bachelor’s).
