Job Title: Executive Assistant – Travel & Administration
Location: Bengaluru, Karnataka
Employment Type: Full-time
About the Role
We are looking for a highly organized and proactive Executive Assistant – Travel & Administration to provide dedicated support to senior leadership. The ideal candidate should have strong experience in coordinating domestic and international travel, managing executive schedules, and handling end-to-end travel logistics.
Candidates with prior experience in a travel agency, corporate travel desk, hospitality industry, airline industry, or travel management company will be given preference.
Key Responsibilities
- Manage the calendars, appointments, and meetings of senior leadership.
- Plan and coordinate domestic and international travel, including:
- Flight bookings
- Hotel reservations
- Airport transfers
- Visa coordination
- Travel insurance
- Forex arrangements (if required)
- Prepare detailed travel itineraries and ensure seamless travel experiences.
- Liaise with travel agencies, airlines, hotels, and other vendors to secure the best rates and services.
- Handle travel changes, cancellations, and emergency travel requirements efficiently.
- Maintain travel records, invoices, and expense reports.
- Coordinate meeting logistics, conference bookings, and event-related travel.
- Assist with administrative tasks, documentation, correspondence, and confidential records.
- Support the leadership team with day-to-day operational and administrative requirements.
- Build and maintain strong relationships with vendors and service providers.
Required Qualifications
- Bachelor's degree in any discipline.
- Preferred: Diploma or Degree in Travel & Tourism, Hospitality Management, Airline Management, or a related field.
- IATA or other travel-related certifications will be an added advantage.
Experience
- 3–6 years of experience as an Executive Assistant, Travel Coordinator, Corporate Travel Executive, or similar role.
- Experience working with a travel agency, travel management company, hospitality sector, or airline industry is highly preferred.
- Experience supporting senior executives or leadership teams is an advantage.
Required Skills
- Excellent knowledge of domestic and international travel booking processes.
- Strong organizational and time management skills.
- Ability to manage multiple priorities and last-minute travel changes.
- Strong communication and interpersonal skills.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with travel booking platforms and corporate travel systems is an advantage.
- Strong negotiation and vendor management skills.
