Job Purpose
The Project Coordinator cum Scholarship Facilitator will be responsible for the overall planning, implementation, coordination, monitoring, documentation, and reporting of the PADHAYI Project while ensuring effective management of scholarship initiatives for deserving students. The role requires strong leadership, project management, stakeholder engagement, community mobilization, team supervision, and scholarship management skills. The position aims to improve educational outcomes, strengthen access to higher education opportunities, and support students in pursuing STEM and professional careers.
Key Responsibilities:
1.Project Planning, Implementation & Coordination
Lead end-to-end implementation of project activities in accordance with approved project objectives, timelines, budgets, and donor commitments.- Develop annual, quarterly, monthly, and weekly implementation plans and monitor progress against targets.
- Ensure timely and quality execution of all academic, community, and scholarship-related interventions.
- Coordinate with schools, colleges, community learning centres, government departments, and partner organizations.
- Organize project events, workshops, awareness campaigns, career guidance sessions, exposure visits, and student engagement activities.
- Ensure smooth functioning of Community Learning Centres and project-supported educational spaces.
- Coordinate procurement, logistics, vendor management, and project administration activities.
- Facilitate donor visits, employee volunteering initiatives, stakeholder meetings, and project reviews.
- Ensure compliance with project guidelines, donor requirements, and organizational policies.
2. Scholarship Facilitation & Student Support
- Plan and implement scholarship outreach and awareness campaigns in schools, colleges, and communities.
- Support eligible students in understanding scholarship opportunities, eligibility criteria, and application processes.
- Facilitate scholarship registration, documentation, application review, and verification processes.
- Coordinate screening, assessments, interviews, and selection procedures for scholarship applicants.
- Conduct due diligence and verification of shortlisted candidates.
- Coordinate scholarship disbursement, laptop distribution, and other student support initiatives.
- Maintain complete records and profiles of scholarship beneficiaries.
- Track academic performance, attendance, retention, and progression of scholarship recipients.
- Provide mentoring, counselling, career guidance, and referral support to scholars.
- Establish alumni and peer-support networks for scholarship beneficiaries.
- Support students in accessing higher education opportunities, internships, skill development programmes, and career pathways.
3. Team Management & Capacity Building
- Supervise Academic Facilitators, Subject Matter Experts, Community Mobilisers, and other project staff.
- Conduct regular review meetings, planning sessions, and performance assessments.
- Provide mentoring, coaching, and handholding support to project team members.
- Identify training needs and facilitate capacity-building programmes.
- Promote teamwork, accountability, innovation, and a results-oriented work culture.
- Ensure timely submission of plans, reports, and data by project staff.
- Support recruitment, onboarding, and orientation of new team members when required.
4. Monitoring, Evaluation, Documentation & Reporting
Establish and maintain a robust monitoring framework for project activities.- Track project indicators, outputs, outcomes, and impact measures.
- Monitor student attendance, participation, learning outcomes, and scholarship milestones.
- Maintain project MIS and ensure timely updating and validation of data.
- Conduct regular field visits, observations, and monitoring reviews.
- Analyze project data and recommend corrective actions for improvement.
- Prepare monthly, quarterly, annual, and donor-specific reports.
- Develop presentations, dashboards, progress updates, and management reports.
- Document case studies, success stories, best practices, challenges, and lessons learned.
- Support internal audits, external evaluations, monitoring visits, and donor reviews.
- Ensure timely submission of all project reports and compliance documentation.
5. Community Engagement & Stakeholder Management
- Build and maintain strong relationships with schools, colleges, parents, community leaders, government officials, and partner institutions.
- Conduct Parent-Teacher Meetings (PTMs), community meetings, and awareness sessions.
- Mobilize students, youth, and parents for participation in project activities.
- Strengthen community ownership and participation in educational initiatives.
- Facilitate convergence and collaboration with local government departments and stakeholders.
- Address stakeholder concerns and ensure effective communication across all levels.
- Represent the organization in meetings, forums, workshops, and community events.
6. Financial & Administrative Management
- Support project budgeting, financial planning, and resource allocation.
- Track project expenditure against approved budgets.
- Coordinate with Finance and Administration teams for smooth financial management.
- Ensure timely submission of bills, vouchers, invoices, utilization certificates, and supporting documents.
- Maintain records of project assets, inventories, and equipment.
- Ensure compliance with organizational financial policies and donor guidelines.
- Support procurement and vendor management processes.
7. Academic Quality Assurance
- Monitor implementation of academic interventions and remedial education programmes.
- Ensure quality delivery of teaching-learning activities and student support services.
- Review student assessments and learning progress.
- Recommend strategies for improving attendance, retention, and learning outcomes.
- Promote STEM education, digital learning, career readiness, and life skills development.
- Support integration of innovative and learner-centred pedagogical approaches.
8. Other Responsibilities
- Undertake regular field visits and travel as required by the project.
- Handle digital tools, MIS platforms, and technology-enabled systems effectively.
- Ensure adherence to child safeguarding, gender sensitivity, and organizational policies.
- Perform any additional duties assigned by the Project In-charge or organization from time to time.
Educational Qualification & Experience:
- Master's Degree in Social Work (MSW), Education, Development Studies, Sociology, Psychology, or related disciplines.
- Minimum 5–7 years of experience in project implementation and team management.
- Experience in education, youth development, scholarship programmes, or community-based projects preferred.
- Experience in stakeholder engagement and partnership management.
- Experience in monitoring, reporting, and donor-funded projects preferred.
