About the Role
We're hiring an Accounts, Admin, HR & Inventory Executive to be the organised backbone that keeps our finances, inventory, office and people-processes running smoothly. This is a hands-on, detail-heavy role for someone who lives in order, accuracy, numbers and follow-through and who closes loops without being chased.
You'll own the day-to-day running of accounts, physical inventory, reporting, office administration and HR coordination, working directly with the founder and the client-facing team. Our external CA handles compliance and filings , you keep the records clean and feed them; you don't do the filings.
What You'll Own Accounts (day-to-day)
- Generate client invoices; track receivables; follow up on outstanding payments until cleared.
- Maintain organised records of invoices, POs, payments, expenses and petty cash.
- Be the single point of coordination with our external CA , feed clean records for GST, filings and returns (the CA files; you keep it accurate).
- Process vendor bills and reimbursements; basic bookkeeping in our accounting tool.
Import / Export
- Handle export documentation for international orders — invoices, packing lists, AWB coordination, shipment tracking.
- Coordinate with couriers, freight partners and customs documentation to keep international dispatches compliant and on time.
Inventory & Reporting
- Own physical inventory - regular stock counts, stock accuracy, and a single source of truth for what we hold.
- Be the one owner the warehouse feeds stock numbers to — no chasing two people for figures.
- Build regular reports: fast-moving boxes, sales reports, stock movement, and MIS for the founder.
- Flag stock gaps, slow movers and reorder needs early.
Admin & Office
- Oversee studio and office upkeep — cleanliness, organisation, supplies.
- Manage inventory of office and packaging supplies; reorder before they run out.
- Coordinate with vendors for office and studio needs; handle couriers and documentation.
HR & People Ops
- Maintain attendance, leave and employee records.
- Support hiring and onboarding logistics — job posting, interview scheduling, onboarding paperwork.
- Keep HR documentation and records in order.
Who You Are
Must-haves:
- 3–5 years in accounts / admin, with hands-on inventory and import/export documentation experience.
- Hands-on with invoicing, receivables and basic bookkeeping (Tally / Zoho / Excel).
- Strong in Excel / reporting — can build sales, stock and fast-mover reports without hand-holding.
- Extremely organised, accurate and numbers-driven — you catch errors before they become problems.
- Reliable and trustworthy with money, stock and sensitive records.
- Proactive — you follow up and close loops on your own, without being reminded.
Preferred:
- E-commerce background (order processing, website inventory, D2C or marketplace operations).
- Experience in a product / retail / gifting / manufacturing business where inventory and dispatch matter.
Pay: ₹30,000.00 - ₹40,000.00 per month
