Job Summary
We are looking for a proactive and experienced Facility Executive to oversee the day-to-day operations, maintenance, and administration of residential/commercial properties. The ideal candidate should have hands-on experience in facility management, building maintenance, vendor coordination, customer relationship management, and society operations. The role requires ensuring smooth functioning of all common amenities while maintaining high service standards and resident satisfaction.
Key ResponsibilitiesSociety & Facility Operations
- Oversee the daily operations and maintenance of the assigned residential/commercial property.
- Maintain attendance records of security, housekeeping, and maintenance staff.
- Ensure daily operational activities are completed as per schedule.
- Monitor the upkeep and cleanliness of common areas, amenities, public toilets, parking areas, and landscaped spaces.
- Coordinate with contractors and vendors for repair and maintenance activities.
- Obtain quotations for maintenance and repair works and follow up for timely execution.
- Provide regular updates and progress reports to management.
- Build and maintain positive relationships with residents and society members.
- Organize and coordinate meetings with contractors, vendors, and service providers.
- Monitor maintenance charges, rent collections, and ensure timely submission of utility bills such as water and electricity.
Building Maintenance
- Supervise preventive and corrective maintenance activities for:
- Lifts
- CCTV Surveillance Systems
- Fire Fighting & Fire Alarm Systems
- DG Sets (Generators)
- Water Supply & Pumping Systems
- Electrical Installations
- Sewage & Garbage Disposal Systems
- Common Area Lighting
- Parking Areas and External Infrastructure
- Ensure all systems are functioning efficiently and comply with safety standards.
- Manage Annual Maintenance Contracts (AMCs) and coordinate with service providers for timely servicing and repairs.
- Maintain complete records of maintenance schedules, inspections, and service reports.
Customer & Complaint Management
- Attend to resident and customer complaints promptly and ensure timely resolution.
- Coordinate with internal teams and external vendors to address maintenance issues efficiently.
- Ensure a high level of customer satisfaction through effective communication and timely service delivery.
Vendor & Team Management
- Supervise housekeeping, security, maintenance staff, and outsourced agencies.
- Monitor vendor performance and ensure service quality as per contractual agreements.
- Ensure availability of required materials and resources for uninterrupted facility operations.
Documentation & Compliance
- Maintain records of maintenance activities, vendor contracts, utility bills, AMC schedules, inspections, and service reports.
- Ensure statutory and safety compliance for all facility operations.
- Prepare periodic reports on facility performance, maintenance activities, and operational status.
Required Qualifications
- Minimum qualification: Diploma or Degree in any discipline will be preferred.
- 5–8 years of experience in Facility Management within the Real Estate or Construction industry.
- Experience in the Construction Industry is mandatory.
- Good knowledge of civil maintenance, electrical systems, plumbing, firefighting systems, and building services.
- Strong leadership, team management, and vendor coordination skills.
- Basic computer proficiency (MS Office, Email, Excel).
- Good communication and problem-solving skills.
Preferred Skills
- Experience in residential township or commercial property management.
- Strong customer service and conflict resolution abilities.
- Knowledge of preventive maintenance planning and AMC management.
- Ability to manage multiple vendors and maintenance activities simultaneously.
