Key Responsibilities:
1. Event Planning and Coordination:
· Collaborate with clients to understand their event requirements, themes, and objectives, and develop customized event proposals and concepts to meet their needs.
· Coordinate all aspects of event planning and logistics, including venue selection, decor, entertainment, catering, rentals, and transportation, to ensure a flawless and memorable event experience.
2. CRM:
· Reach out to prospects via phone calls, emails, or other communication channels to introduce products or services and assess their needs and suitability.
· Qualify leads based on predetermined criteria such as budget, authority, need, and timeline
· Maintain accurate records of all prospecting activities, communications, and opportunities in the CRM system.
3. Vendor Management:
· Source, negotiate contracts with, and manage relationships with event vendors, including decorators, caterers, entertainers, florists, and rental companies, to secure necessary services and resources for each event.
· Communicate effectively with vendors to ensure timely delivery, setup, and breakdown of event-related services, and resolve any issues or concerns that may arise during the planning and execution phases.
4. Guest Experience Enhancement:
· Design and execute event layouts and experiences that engage and delight guests, incorporating creative elements, interactive activities, and personalized touches to enhance the overall guest experience.
· Anticipate and address guest needs and preferences throughout the event, providing exceptional customer service and ensuring guest satisfaction at every touchpoint.
5. Logistics and Operations:
· Manage all logistical aspects of events, including scheduling, staffing, budgeting, and timeline management, to ensure events are executed smoothly and efficiently.
· Oversee on-site event operations, including setup, coordination of activities, guest registration, and supervision of event staff, and troubleshoot any issues or challenges that may arise during the event.
6. Client Relations:
· Serve as the primary point of contact for clients throughout the event planning process, maintaining regular communication, providing updates and progress reports, and addressing any concerns or requests in a timely and professional manner.
· Build and maintain strong client relationships, fostering trust and confidence through proactive communication, responsiveness, and attention to detail.
Qualifications:
· Bachelor's degree in Hospitality Management, Event Planning, Marketing, or related field (preferred).
· Proven experience in event planning and coordination, preferably in the entertainment, hospitality, or events industry.
· Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
· Excellent interpersonal and communication skills, with the ability to interact effectively with clients, vendors, and team members at all levels.
· Creative problem-solving abilities and attention to detail, with a focus on delivering exceptional guest experiences and exceeding client expectations.
· Proficiency in event planning software, project management tools, and Microsoft Office suite (Word, Excel, PowerPoint).
· Flexibility to work evenings, weekends, and holidays as needed to accommodate event schedules and client requirements.
