Job Title – Personal assistant cum executive HR
Job Summary
The Personal Assistant (PA) to the Director will provide structured administrative, coordination, and communication support from the Head Office. The role focuses on calendar management, documentation, MIS, inter-department coordination, and acting as a central point of contact between the Director and internal/external stakeholders.
Key Responsibilities
1. Directors Office Management (HO)
- Manage Directors calendar, meetings, calls, and appointments
- Coordinate internal meetings, video conferences, and reviews
- Screen and prioritize emails, calls, and correspondence
- Maintain confidentiality of sensitive and strategic information
2. Corporate Coordination & Follow-ups
- Coordinate with HO departments Finance, HR, Legal, Sales, CRM, Admin
- Track action points from management meetings and ensure timely closure
- Follow up with site teams for reports, updates, and approvals
- Maintain task trackers and reminder systems
3. Documentation & MIS
- Draft professional emails, letters, notes, and internal communications
- Prepare MIS reports, dashboards, and summaries for Directors review
- Maintain structured filing (physical & digital) of agreements, approvals, and records
- Assist in preparing presentations and management reports
4. Real Estate & Compliance Support
- Track project approvals, statutory compliance updates, and submissions
- Coordinate with legal and liaison teams for documentation status
- Maintain records related to land, contracts, and regulatory filings
5. Administrative & Financial Coordination
- Assist in bill processing, expense tracking, and payment follow-ups
- Coordinate with Finance for approvals and documentation
- Support Admin functions related to HO operations
Skills & Competencies
- Strong written and verbal communication
- Excellent follow-up and coordination skills
- Proficiency in MS Office (Excel, Word, PowerPoint)
- Organized, detail-oriented, and proactive
- Ability to manage multiple priorities and deadlines
Qualification & Experience
- Graduate / Post-Graduate in any discipline
- 4-8 years of experience as PA / Executive Coordinator / Secretary
Prior experience in Real Estate / Infrastructure / Construction preferred
Pay: ₹60,000.00 - ₹80,000.00 per month
