We are looking for a proactive, highly organized, and detail-oriented Executive Assistant to support the Director in managing daily operations, strategic initiatives, and business communications. The ideal candidate should possess exceptional organizational skills, business acumen, and the ability to handle confidential information with professionalism.
Key ResponsibilitiesExecutive Support
- Manage the Director's calendar, appointments, meetings, and travel schedules.
- Prioritize and coordinate daily tasks, ensuring timely follow-ups.
- Prepare meeting agendas, MOMs (Minutes of Meeting), and action trackers.
- Screen calls, emails, and correspondence, responding where appropriate.
- Act as the primary point of contact between the Director and internal/external stakeholders.
Business Coordination
- Coordinate with department heads to track projects and business objectives.
- Monitor task completion and ensure timely follow-ups with concerned teams.
- Prepare daily, weekly, and monthly business reports for management review.
- Assist in strategic planning and execution of key business initiatives.
Documentation & Reporting
- Draft professional emails, presentations, business proposals, reports, and official letters.
- Maintain confidential records, contracts, and important business documents.
- Prepare MIS reports, dashboards, and presentations for management meetings.
- Organize and maintain digital and physical documentation.
Meeting & Event Management
- Schedule internal and external meetings.
- Coordinate board meetings, leadership reviews, and client meetings.
- Record discussions and circulate action points.
- Track implementation of decisions and pending tasks.
Cross-Functional Coordination
- Liaise with HR, Finance, Sales, Marketing, Operations, and other departments.
- Ensure smooth communication across teams.
- Escalate critical issues requiring management attention.
- Coordinate with vendors, consultants, and external agencies when required.
Administrative Responsibilities
- Manage travel bookings, accommodation, and itineraries.
- Handle expense reports and reimbursements.
- Support office administration and special projects assigned by the Director.
- Maintain confidentiality in all business matters.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Commerce, or a related field.
- MBA is preferred.
- 3–6 years of experience as an Executive Assistant, Executive Coordinator, or similar role supporting senior leadership.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- High level of discretion and confidentiality.
Technical Skills
- Advanced Microsoft Excel, Word, and PowerPoint.
- Google Workspace (Docs, Sheets, Slides, Calendar).
- Experience with CRM/ERP systems (Zoho, Keka, or similar platforms is preferred).
- Ability to create reports, presentations, and dashboards.
